Position Summary:

The Senior Leave Administration Specialist plays a key role in overseeing leave administration and ADAAA functions in support of Corporate Benefits operations across the U.S., Canada, and Puerto Rico. This role offers a competitive salary between $85,000 and $90,000 per year and requires expert-level knowledge of FMLA and state-paid leave laws, along with experience in interpreting, executing, and documenting leave and disability policies.

This individual will also partner with internal stakeholders on workers’ compensation and ADA accommodations.

Key Responsibilities:
  • Serve as a subject matter expert in federal, state, and local leave laws and ADA accommodations.
  • Act as liaison with third-party leave vendors to monitor and support leave approvals and reporting.
  • Administer a wide range of leaves, including:
  • Federal FMLA
  • Military leave (USERRA)
  • Short- and Long-Term Disability (STD/LTD)
  • State-sponsored Paid Family Medical Leave (PFML)
  • Company-specific and statutory leave policies
  • Ensure HIPAA compliance and privacy of employee medical information.
  • Recommend and implement improvements in leave-related procedures and systems.
  • Maintain up-to-date SOPs, forms, and communication templates.
  • Manage salary continuation processes and coordinate with Payroll for accurate payment.
  • Communicate leave policies and status updates clearly and promptly to employees.
  • Track legal updates and maintain compliance with all relevant laws and regulations.
  • Partner with HRIS/IT to configure systems for accurate leave tracking and reporting.
  • Provide regular leave status reports and conduct monthly audits.
  • Train HR partners and managers on leave and ADA processes.
  • Handle confidential information with discretion.
  • Assist with special projects and related duties as needed.
Required Skills & Abilities:
  • Advanced knowledge of FMLA, ADA, and multi-state leave/disability regulations.
  • Familiarity with ADA compliance, both independently and as it relates to leaves.
  • Strong Excel skills (VLOOKUP, PivotTables, charts, complex formulas).
  • Proficiency in PowerPoint, Word, Outlook, and OneNote.
  • Excellent communication, organizational, and interpersonal skills.
  • Strong analytical and problem-solving abilities.
  • Able to manage multiple tasks in a high-volume, fast-paced environment.
  • Detail-oriented with excellent time management.
  • Experience working with HRIS systems (Ceridian Dayforce preferred).
Education & Experience:
  • Bachelor’s degree in Human Resources, Business, or a related field preferred.
  • Minimum of 4 years of professional experience in leave administration at a national level.
  • Preferred certifications: DMEC, SHRM-CP or SHRM-SCP, IFEBP Certificate in Absence Management.
Essential Job Functions:
  • Prolonged sitting (8–10 hours per day).
  • Clear vision for computer use and printed materials.
  • Ability to navigate office spaces safely.
  • Effective communication through speech, hearing, and writing.
  • Dexterity for keyboard/mouse use.
  • Lifting occasional paperwork (up to 10 lbs.).
  • Comfortable working in a moderately noisy, team-oriented office.
