Summary

We are seeking a highly organized and detail-oriented Senior Fleet Risk Operations & Project Manager to support our consultancy team through project coordination, CRM management, and billing operations. This role focuses on executing back-end functions that enable successful delivery of safety consulting services. The ideal candidate will thrive in a dynamic environment and bring strong workflow management, CRM optimization (HubSpot preferred), client billing, and process improvement skills.

This position supports revenue growth and customer satisfaction by ensuring smooth operations behind the scenes.

Essential Functions

Project Management & Operational Support

• Manage safety consulting engagements and client deliverables from start to finish, meeting all milestones.
• Coordinate resources between consultants, clients, and internal teams.
• Maintain project dashboards and lead weekly status reviews.

Communications & Content Management

• Draft and distribute safety alerts, updates, and newsletters.
• Manage the Fleet Risk Services LinkedIn page and digital engagement tools.

Client & Vendor Coordination

• Assist with third-party vendors, including CRM platforms and billing tools.
• Support webinars, training, and onboarding logistics.

Data Analysis & Risk Reporting

• Analyze fleet and safety data to prepare risk dashboards and reports.
• Summarize trends for clients and internal use.
• Support DOT audits and data projects.
• Monitor billing scope utilization for upsell opportunities.

Billing & Revenue Operations

• Create invoicing schedules and coordinate billing per agreements.
• Work with Finance to ensure billing accuracy and track collections.

CRM & Customer Lifecycle Management

• Optimize HubSpot CRM for leads, deals, and communication tracking.
• Automate workflows for onboarding, follow-ups, and renewals.
• Document customer interactions aligned with service touchpoints.

Additional Responsibilities

• Perform other duties as assigned.

Required Skills & Abilities

• Strong project management and organizational skills.
• Proficient in HubSpot CRM or similar platforms.
• Experience with invoicing, billing, or accounts receivable.
• Excellent communication skills; bilingual Spanish preferred.
• Ability to work independently in a fast-paced, remote environment.
• High attention to detail with multitasking ability.
• Proficient in Microsoft Office Suite and Adobe Acrobat.

Qualifications

• Bachelor's degree in Safety, Health, or related field, or equivalent experience.
• At least 2 years of relevant experience in operations, project management, or consulting support.
