The Prince George's County Council is seeking qualified applicants to fill a Senior Finance Assistant (Administrative Aide 3G) vacancy, grade G17, in the County Council.

About the Position

This is highly responsible and advanced administrative and finance work designed to relieve an important official of administrative detail. Work at this level is distinguished from the Administrative Aide II level by lead work responsibilities and more involvement in coordinating and managing office activities. Incumbents are required to apply a good working knowledge of the purchase card program, expense and financial processing under the supervisor's control to the solution of procedural and management problems. Work at this level and the higher levels in this class series also involve handling highly sensitive and confidential issues and related activities. Incumbents in this class work independently under general supervision of an administrative supervisor (generally grades G-28 to G-30). Work performance is evaluated in terms of accuracy and timely completion of projects and assignments.

About the Agency

All legislative powers of the County are vested in the County Council. In addition, the County Council sits as the District Council on zoning and land use matters, and as the Board of Health on health policy matters.

Key Responsibilities
  • Maintains extensive knowledge of all County purchasing procedures, contracts, and accounting principles.
  • Serves as the purchase cardholder for the Council Members.
  • Researches automated and manual file of accounts using the County financial automated system, ensures all forms and data are entered and updated in a timely manner.
  • Responds promptly to inquiries from Council Members and staff regarding the status of purchases.
  • Researches vendors to meet purchase specifications and consults with Council Members/staff to obtain approval for purchase and make recommendations, if necessary.
  • Monitors purchases to ensure timely delivery and inspects deliveries for damage and proper assembly.
  • With assistance from the Office Manager, maintains and organizes supply inventory in a manner allowing staff and Council Members easy access.
  • Maintains the confidentiality of all procurement and purchase requests.
  • Assists the Director of the Legislative Branch's Finance Office by typing sensitive and confidential correspondence.
  • Willingly and cooperatively performs other tasks and duties as assigned.
Minimum Requirements

Must have experience in the Administrative Aide II level equal to the length of the probationary period.

OR

  • Associate's degree in business administration or secretarial science.
  • One (1) year of secretarial/administrative experience which involved working with the public, office management, and operational details.

Any equivalent combination of relevant training, education, and experience will also be accepted. Applicant must be proficient in typing where required.

Preferred Qualifications
  • 3 years' work experience supporting a senior manager in financial budgeting and review.
  • Expert skills utilizing Microsoft Word, Excel, PowerPoint, and other word processing, graphs, spreadsheets, databases, and Outlook software.
  • 3 years' experience processing procurement and supply requests.
  • 3 years' experience monitoring budget expenditures and purchases.

Upon selection, the candidate must:

  1. Applicants who meet minimum qualifications must pass an administered Administrative Aide exam. Applicants who have previously taken the exam on or after 8/1/2024, and passed, will not be required to re-test; instead, previously test scores will be used to receive the passing disposition.
  2. Must pass a thorough background investigation.
  3. Meet all training and performance standards and demonstrate proficiency as required by the agency.
  4. Wear and use agency protective apparel and equipment in the performance of their assigned duties, if applicable.
  5. Be willing to serve as an essential employee. Essential employees are expected to report during standard or non-standard hours as operations necessitate. Essential employees are expected to report or remain at work when other County employees are granted Administrative Leave if applicable.
