Job summary

PowerSchool is seeking a Facilities professional to manage maintenance, space usage, safety, and services that keep the workplace productive and secure. You will lead administration, coordinate schedules, and oversee vendor work to ensure high-quality facilities operations.

The role requires strong communication, independence, and a commitment to continuous process improvement in a dynamic environment.

Qualifications

  • 5+ years experience in facilities or related field.

Responsibilities

  • Document, analyze and revise office-related facilities processes.
  • Purchase and track facilities materials and labor; process invoicing.
  • Define operational parameters for security badge process and system maintenance.
  • Verify badges are up to date and assist in badging staff/vendors.
  • Lead Administration staff and coordinate workloads; maintain facility databases and websites.
  • Lead meeting setup and coordination.
  • Review contractor scope and impact on the PowerSchool environment.
  • Attend vendor meetings to coordinate interruptions or modifications and supervise contractor work.
  • Inspect contractor work to ensure safe practices and SOPs.
  • Pursue continuous improvements to operations and service quality.
  • Interact professionally with customers, staff and vendors to meet objectives.
  • Provide input into budgets and monitor expenditures for Facilities Management.
  • Lead projects and committees; e.g., Safety Committee.
  • Other duties as assigned.

Team Overview

Our Facilities team is responsible for the management of services and processes that support our core business, such as safety, space management, site amenities, event support, maintenance, and janitorial services. Responsibilities
Description

The Facilities team ensures the smooth operation of the physical workplace by managing maintenance and repairs, optimizing space use, ensuring safety and security, overseeing cleaning services, and providing support services to employees. Facilities is crucial for maintaining a safe, functional, and efficient working environment.

Your day-to-day job will consist of:

  • Essential duties and responsibilities include the following. Reasonable accommodations may be made to enable individuals with disabilities to perform the essential functions.
    Document, analyze and revise, as needed all office related processes on a continual basis for all facilities related support services.
  • Purchase and track all facilities related materials and labor, process all invoicing for proper tracking and payment.
  • Work with Manager, Facilities to define operational parameters in providing the proper security badge process and system maintenance.
  • Verify all badges are up to date in the security system and are operational per the security plan. Assist in the badging of all staff/vendor/temps for the facilities managed.
  • Lead Administration staff and cordinate workloads and schedules; handle maintenance of various facility databases and resource websites, assist with special projects as needed.
  • Lead meeting setup and coordination.
  • Review the scope of work provided by the contractor/vendor and assesses the impact on the PowerSchool environment.
  • Attend vendor meetings as necessary to coordinate interruptions or modifications, oversee and inspect contractor’s work.
  • Inspect contractor’s work to ensure that safe work practices and standard operating procedures are followed.
  • Continuous effort to improve operations, decrease turnaround times, streamline work processes and work cooperatively and jointly to provide quality seamless customer service.
  • Interacts professionally with internal and external customers, staff and contractors/vendors to maintain an effective working relationship and works in cooperation with Manager, Facilities to effectively meet departmental objectives.
  • Provides input into the development of the departmental operating and capital budgets; orders material and supplies by coordinating with the Manager, Facilities; assists in the monitoring and tracking of expenditures for the Facilities Management Department.
  • Leads various projects and participates in the various office committees and teams; ie Safety Committee
  • Other duties as assigned
Qualifications

  • 5+ years experience

Preferred Qualifications
  • Proficient in Microsoft Office Software – Especially Word and Excel
  • Must have knowledge or willing and able to learn other facility related software
  • Knowledgeable with card reader systems and security procedures

A reasonable estimate of the base compensation range for this position is $75,000 - $93,700 USD. This compensation range is specific to the United States and it incorporates many factors including but not limited to an applicant's skills and prior relevant experience and training; licensures, degrees, and certifications; internal equity; internal pay ranges; and market data/range parameters.
