Senior Executive Assistant to the CEO
Hiring Salary Range for Level II: $75,500 - $113,300
Compensation is determined by a combination of factors, including but not limited to education, work experience, and certifications. The actual offer may vary, reflecting the candidate's unique blend of experience, educational background, and skill level.
The Senior Executive Assistant to the CEO will deliver exceptional administrative support to the President and CEO, driving the achievement of organizational goals and objectives through a wide range of strategic administrative and staff functions.
ESSENTIAL JOB FUNCTIONS:
- Administrative Support:
- Manage the CEO’s calendar, including scheduling meetings, appointments, and travel arrangements.
- Anticipate the CEO's needs and employ proactive strategies to address and resolve them efficiently.
- Prepare and edit correspondence, reports, presentations, and other documents as needed.
- Coordinate and manage logistics for executive meetings, including board meetings, leadership team meetings, and other events.
- Screen and prioritize incoming communications, including phone calls, emails, and mail.
- Conduct research, prepare reports, and handle information requests to support the President and CEO.
- Develop impactful PowerPoint presentations that effectively convey Dairyland's strategic messages with precision and professionalism.
- Liaison Role:
- Provide support to the President and CEO, who serves on a variety of boards and committees (national and statewide).
- Facilitate communication and collaboration across departments and with external partners.
- Handle confidential information with discretion and maintain a high level of integrity.
- Project Management:
- Assist in the planning and execution of special projects and initiatives led by the CEO.
- Conduct research and gather information to support decision-making processes.
- Track and follow up on action items and deliverables to ensure timely completion.
- Office and Document Management:
- Oversee the organization and maintenance of the CEO’s office.
- Maintain an efficient filing system for documents and records.
- Ensure that office supplies and resources are adequately stocked.
- Maintain, update, and preserve archival documents relating to Dairyland's business and historical activities.
- Budget Management:
- Prepare and enter the Management department (CC048) budget and monitor it throughout the year.
- Meeting Participation:
- Attend Executive Management staff meetings and selected other functions to stay informed on current issues.
- Furnish information, record action items, provide input, and record future Board agenda items.
- May support other executive level staff, as needed.
- Perform notary duties for Dairyland.
- Perform other duties as assigned.
MINIMUM QUALIFICATIONS:
Education & Experience: Bachelor degree plus a minimum of 5 years of experience as an executive assistant or in a similar role. Must include experience in a progressively responsible administrative support position and proven, consistent and positive performance and professionalism. Comparable education and experience will be considered.
Skills: Advanced knowledge of MS Office Suite (Word, Excel, PowerPoint) required. Experience with Hyperion (budget) Excel spreadsheets, electronic board books (CalltoOrder) desirable. Ability to work independently. Superior attention to detail and ability to multi-task and change priorities quickly. Excellent listening, judgment, problem resolution, and decision-making skills required. Maintain high level of confidentiality. High degree of organization, excellent written and communication skills, high degree of organization, professionalism, good telephone etiquette, discretion and excellent customer relation skills. Promote process improvement. Consistent team player.
Licenses and Certifications: Must obtain licensure as a Notary Public within 6 months.
