Role

We are seeking an exceptional, highly experienced Senior Executive Assistant to serve as a deeply trusted strategic partner to the SVP, People and Chief Medical Officer (CMO) at Function Health.

This is not a role for someone learning the craft. We are looking for someone who has operated at the highest levels of executive support and brings exceptional judgment, operational excellence, discretion, and an instinctive, AI-native way of working.

Our strongest EAs are much more than calendar and travel support. They operate as extensions of their executives: anticipating needs, protecting time, connecting dots, creating order from ambiguity, and stepping into work that does not always fit neatly within a job description.

The ideal candidate is a self-starter who thrives in ambiguity, is meticulous in their attention to detail, and is equally comfortable managing the smallest logistical detail and helping move an ambiguous project across the finish line. They bring executive presence, composure under pressure, and a deep understanding of what it takes to support senior executives in a fast-moving, high-growth environment.

Key Responsibilities
Manage Calendar, Priorities, and Travel
  • Own and manage exceptionally complex, high-demand calendars, balancing internal commitments, external meetings, Board touchpoints, and personal priorities across time zones.
  • Anticipate conflicts before they happen and resolve them without unnecessary escalation.
  • Develop a strong point of view about how executive time should be spent and proactively protect space for strategic work, preparation, and personal priorities.
  • Coordinate with internal teams and external partners on scheduling, priorities, and logistics.
  • Arrange complex domestic and international travel, including flights, hotels, ground transportation, itineraries, and necessary documentation.
  • Adapt quickly when priorities shift and solve last-minute problems calmly and independently.
Serve as a Trusted Executive Partner
  • Develop a deep understanding of your executive's priorities, relationships, working style, and goals.
  • Anticipate what your executive needs before they have to ask.
  • Handle correspondence on behalf of your executive, drafting with an accurate voice and appropriate tone.
  • Act as a trusted liaison between your executive and other executives, Board members, investors, and external partners.
  • Prepare briefing materials, agendas, and pre-reads for key meetings.
  • Capture decisions and action items and ensure follow-through happens.
  • Handle highly sensitive and confidential information with exceptional judgment and discretion.
Be the Glue
  • Look beyond the calendar to understand what your executive and their team actually need.
  • Notice gaps and take ownership without waiting to be asked.
  • Step into ambiguous work where there isn't an obvious owner and help move it forward.
  • Support special projects, presentations, communications, team initiatives, and other priorities as needed.
  • Help organize leadership meetings, team offsites, and company gatherings.
  • Connect dots across people, priorities, and information and proactively surface what your executive needs to know.
  • Bring thoughtfulness and care to the details that shape executive, team, and employee experiences.
  • Be willing to move fluidly between highly strategic work and small but important tasks. No work is beneath you when it helps the team move faster.
Operate for Scale
  • Identify recurring administrative friction and look for ways to eliminate or automate it.
  • Use AI tools as a core part of how you draft, summarize, research, prepare, organize, and execute.
  • Build lightweight systems that create greater organization and capacity for your executive.
  • Continually look for ways to improve how the executive office operates rather than simply maintaining existing processes.
Qualifications / Skills
  • 10+ years of Executive Assistant experience, with significant experience directly supporting C-suite executives in high-growth startup or technology environments.
  • Demonstrated experience operating as a strategic executive partner, not solely providing administrative support.
  • Highly proactive. You anticipate needs and consistently think several steps ahead.
  • Exceptional organizational skills and proven ability to manage competing priorities without losing details.
  • Thrives in ambiguity. You don't need a playbook or clearly defined ownership to move something forward.
  • Highly resourceful. When you encounter something you haven't done before, your instinct is to figure it out.
  • Executive presence and strong judgment. You represent your executive impeccably in every interaction.
  • Excellent under pressure and comfortable with frequent pivots and last‑minute changes.
  • High emotional intelligence and discretion.
  • Strong written and verbal communication.
  • AI-native. Tools such as ChatGPT, Claude, Gemini, and other emerging technologies are genuinely integrated into how you work.a
  • Deep proficiency in Google Workspace, Slack, Zoom, and modern productivity tools.
  • Experience supporting Board-level engagement, investor communications, and external-facing executive functions.
  • West Coast availability required.
