Job summary

Columbia Bank in Phoenix, AZ seeks a Senior Executive Assistant to provide high-level support to multiple executive leaders, coordinating calendars, travel, and confidential work. This role requires independent judgment and discretion to manage complex priorities and sensitive information.

The role includes planning and logistics for Board and divisional meetings, preparing materials, and maintaining governance records.

Qualifications

  • High school diploma or GED required; bachelor’s degree preferred.
  • 5+ years of experience supporting executive or C-suite leaders, including multi-executive support.
  • Experience supporting Boards of Directors and senior leadership.
  • Advanced proficiency in Microsoft Office, including strong spreadsheet capabilities.
  • Excellent written, verbal, and interpersonal communication skills.

Responsibilities

  • Provide proactive, strategic administrative support to senior leaders.
  • Support special projects and produce complex executive-level documents, reports, and correspondence.
  • Coordinate information for meetings involving executives, the Board, regulators, and external stakeholders.
  • Manage sophisticated calendars and travel, including offsite meetings and competing priorities.
  • Arrange and manage Board and divisional meeting logistics, including agenda, materials, and minutes.
  • Serve as primary liaison for meetings and events with professionalism and discretion.
  • Handle expense reporting and administrative workflows related to executive support.
  • Maintain governance records: Board minutes, bylaws, policies, and org charts.
  • Support audit, regulatory, and compliance requests as needed.
  • Ensure adherence to bank policies and regulatory requirements.
  • Mentor administrative staff and serve as SME for executive support operations.

About the RoleThe Senior Executive Assistant provides high-level administrative and operational support to multiple executive leaders. This role serves as a trusted partner to executive leadership and requires independent judgment, discretion, and the ability to manage complex, confidential, and competing priorities.Key responsibilities include:Provide proactive, strategic administrative support that enables executive leaders to effectively lead the organizationSupport special projects and produce complex executive-level documents, reports, presentations, and correspondenceCollect, analyze, and prepare information for meetings involving executive leadership, the Board of Directors, regulators, and external stakeholdersProvide sophisticated calendar and travel management, including coordination of offsite meetings and competing executive prioritiesPrioritize inquiries, resolve scheduling conflicts, and make recommendations to ensure smooth day‑to‑day executive operationsArrange and manage logistics for Board and divisional meetings and events, including scheduling, agenda development, material preparation, distribution, and meeting minutesServe as a primary liaison for meetings and events, handling all logistics with professionalism and discretionManage expense reporting and administrative workflows related to executive supportHandle highly confidential and sensitive information using sound judgment and initiativeMaintain corporate governance records, including Board minutes, bylaws, resolutions, policies, and organizational chartsSupport audit, regulatory, and compliance-related requests as neededEnsure adherence to all bank policies, procedures, and regulatory requirementsMay mentor or guide administrative staff and serve as a subject matter expert for executive support operationsAbout YouYou are an experienced executive assistant who brings professionalism, confidence, and discretion to every interaction.
