Job summary

Senior Executive Administrative Assistant

Salary range: $60,000- $80,000

Qualifications:
  • Bachelor's degree preferred
  • Three to five years related experience, and/or training.
  • Ability to read and comprehend complex instructions, correspondence, and memos. Ability to write correspondence.
  • Ability to access the Internet and collect research on methods and samples of procedures and documents in other districts or organizations.
  • Knowledge of spreadsheet software and word processing software.
  • Satisfactory work record & criminal/child abuse clearances (Acts 34, 114, and 151).
  • Ability to perform each essential duty satisfactorily. Reasonable accommodations may be made to enable individuals with disabilities to perform the essential functions.
  • Any additional qualifications deemed appropriate by the board or superintendents.
Summary

The Senior Executive Assistant for the Superintendent provides high-level confidential administrative support to the Superintendent, handling district-wide strategic initiatives, Board communications, and sensitive matters requiring discretion and judgment.

Essential Duties and Responsibilities
  • Manage Superintendent's calendar, travel, and meeting logistics.
  • Prepare and distribute Board meeting materials and confidential reports.
  • Coordinate district-wide projects and ensure compliance with governance policies.
  • Serve as liaison between Superintendent and internal/external stakeholders.
  • Assist in maintaining accurate records related to the superintendent's progress toward achieving board identified goals.
  • Compose and type routine correspondence.
  • Organize and maintain the file system, filing correspondence and other records for the superintendent.
  • Answer and screen supervisor telephone calls, and arrange conference calls.
  • Greet scheduled visitors and conduct them to appropriate areas or persons.
  • Perform secretarial duties and responsibilities as assigned by the superintendent.
  • Coordinate and arrange meetings, prepare agendas, reserve and prepare facilities, and record and transcribe minutes of meetings.
  • Make copies of correspondence or other printed materials.
  • Prepare outgoing mail and correspondence, including e‑mail and faxes.
  • Order and maintain supplies, and arrange for equipment maintenance.
  • Maintain supervisor's budget.
  • Prepare reports for the superintendent.
  • Perform such other tasks and assume such other responsibilities as may be assigned or delegated by the supervisor.
  • Handle highly sensitive information with utmost confidentiality.
