Responsibilities

  • Schedules and supervises events and coordinates technical, physical, and other required support.
  • Initiates, plans, schedules, and manages on- and off-site university events, including coordination of locations, facilities, and services.
  • Coordinates work orders and maintenance for event rooms or equipment.
  • Coordinates financial transactions, including budget tracking, invoicing, billing records, and payroll.
  • Ensures sufficient support personnel are hired, trained, and available.
  • Acts as a liaison with internal and external customers and agencies to coordinate and facilitate co-sponsored events.
  • Communicates facility use, program operations, regulations, and procedures to customers and the University community.
  • Creates, develops, and produces marketing materials for events.
  • Prepares reports and statistical information to evaluate success of events and inform planning.
  • Performs other duties as assigned.

Salary Range

Up to $51,300 annualized, commensurate with education, experience, and qualifications.

Job Summary

The Senior Events Manager plans and coordinates support operations for a large volume of events for a large facility or department. The position develops and directs events that support the organization's strategic goals and objectives, while being responsible for event objectives and requirements, budgets, vendor contracts and management, transportation, facilities, catering, signage, communications equipment, and other aspects of events. This role coordinates event activities and monitors the effectiveness and return on investment.

Core Responsibilities
  • Schedules and supervises events and coordinates technical, physical, and other required support.
  • Initiates, plans, schedules, and manages on- and off-site university events, including coordination/procurement of locations, facilities, technical services, supplies, marketing, publicity, and personnel.
  • Coordinates work orders and maintenance for event rooms or equipment.
  • Coordinates financial transactions, including budget tracking, invoicing, billing records, and payroll. Monitors accounts for events.
  • Ensures sufficient support personnel are hired, trained, and available.
  • Acts as a liaison with internal and external customers and agencies to coordinate and facilitate co-sponsored events.
  • Communicates information regarding facility use, program operations, and campus policies, regulations, and procedures to customers and the University community.
  • Creates, develops, and produces marketing materials for events, including posters, flyers, programs, and other advertisements.
  • Approves advertisements submitted by internal or external customers for advertisement in university-approved posting areas.
  • Prepares reports and statistical information to evaluate the success of events and provide actionable insights for future strategic planning.
  • Performs other duties as assigned.
Required Qualifications
  • High School Diploma.
  • Five (5) years of related work experience.
    • Additional education may substitute for experience on a one-for-one basis.
  • This position may require the ability to maintain the security and integrity of UT San Antonio and its infrastructure per Texas EO-GA-48.

Working Conditions

Physical Demands
  • Occasional need to walk and stand for long periods of time. Exerts up to 20 lbs. of force occasional.

This position will work primarily on campus. Travel and parking expenses are the employee’s responsibility.

This position is contingent upon a successful background check. Verification of a valid driver’s license and Motor Vehicle Record (MVR) may be completed as applicable. Applicants selected must be able to show proof of eligibility to work in the United States by time of hire.
