Pyramid Global Hospitality is seeking an Event Planning Manager for the Virginia Guesthouse opening April 2026. You will lead conference center events, coordinate with Culinary, Banquets, Rooms, Front Office, and Accounting to ensure flawless execution and guest satisfaction.

Qualifications

• Previous experience in planning and execution of Banquet/Catering events.
• Strong leadership skills.
• Detail oriented, proactive, and able to manage multiple tasks.

• Excellent customer service and team collaboration.

Responsibilities

• Solicit and secure new event business through prospecting and networking.
• Maintain relationships with corporate, social, and event clients to drive repeat business.
• Prepare proposals, cost estimates, contracts, and BEOs accurately.
• Conduct site visits and pre-event meetings to finalize details.
• Serve as primary client contact from inquiry to event completion.
• Collaborate with Culinary, Banquets, Rooms, Front Office, and Accounting to deliver events.
• Oversee BEOs, rooming lists, and event documentation for direct or assigned events.
• Attend events as required, including weekends or holidays.
• Support billing with deposits, final payments, and post-event reconciliations.
• Maintain local/regional networking and industry involvement.
• Stay informed on catering trends and competitive offerings.
• Contribute to marketing and social media highlighting catering capabilities.
• Use CRM to document leads, communications, contracts, and follow-ups.
• Provide reporting on sales activity, forecasting, and performance metrics.
