Senior Event Coordinator
Contract length: 6 months
Location: Framingham, MA Hybrid
Pay: $50/hr - $55/hr, (DOE)
Responsible for coordinating all aspects of meetings and events, including researching venues, negotiating contracts, and providing comprehensive support to internal clients. The Meeting Planner is responsible for the successful planning and execution of meetings, events, and conferences for U.S. domestic entities. This role works as part of a team supporting more than 500 meetings annually.
Major Areas of Responsibility
- Partner with internal clients to understand meeting objectives, requirements, and expectations.
- Plan and coordinate all aspects of company meetings and events, including site selection, hotel accommodations, food and beverage, off-site events, transportation, and other related services.
- Negotiate contracts and pricing for all meeting and event components.
- Determine meeting specifications and evaluate potential meeting locations and venues.
- Assist internal clients with budget development, cost analysis, and overall meeting expenses.
- Book and oversee meetings of all sizes, ranging from small training sessions to large conferences.
- Provide on-site event support when required or requested.
- Conduct site visits as needed to ensure selected venues meet conference needs and established standards.
- Attend industry events, association meetings, and networking opportunities to maintain current knowledge of the travel and meetings industry.
- Maintain a strong understanding of Strategic Meeting Management Programs and industry best practices.
- Provide feedback to management regarding department needs, opportunities, and initiatives.
- Identify and recommend ways to streamline workflows and improve meeting planning processes.
- Evaluate software and technology solutions that support meeting and event planning.
- Perform special projects and other duties as assigned.
Required Skills and Qualifications
- Strong proficiency with Microsoft Office, particularly PowerPoint, Excel, Outlook, and Word.
- General knowledge of meeting registration and event management tools such as Cvent, Aventri, Bizly, or Groupize.
- Knowledge of the travel and hospitality industry.
- Outstanding customer service skills.
- Excellent written, verbal, interpersonal, and presentation skills.
- Strong organizational skills with exceptional attention to detail and follow-through.
- Ability to manage multiple priorities and remain flexible in a fast-paced environment.
- Previous meeting, event, hospitality, or travel industry experience preferred.
- Ability to thrive in a busy environment while managing multiple projects and shifting priorities.
