Job summary

The Chronicle Of Higher Education, Inc. is recruiting a Senior Development Coordinator for Virginia Commonwealth University’s Office of Development and Alumni Relations.

You will support a broad range of administrative, logistical, and fundraising activities for designated colleges within VCUarts, ICA, and related units. You will coordinate travel, donor communications, proposals, events, and data entry to advance fundraising and alumni engagement, while maintaining confidentiality and

Qualifications

  • One or more years of experience in customer service, donor relations, or other public-facing roles
  • Undergraduate degree from an accredited university or equivalent experience in a fast-paced environment
  • Experience with scheduling and calendar management for large groups and for senior-level staff
  • Computer proficiency with Word, Excel, PowerPoint, Adobe, and Google Suite
  • Ability to work occasional evenings and weekend events
  • Ability to manage time, prioritize, multitask, and provide solutions
  • Ability to manage budgets and project plans
  • Strong customer service and communication with internal and external audiences
  • Ability to navigate complex environments with multiple stakeholders

Responsibilities

  • Provide administrative support including calendars, travel planning, donor itineraries, preliminary research for proposals, drafting letters, and project management
  • Provide travel, purchasing, and reimbursement assistance for fundraising staff
  • Coordinate donor acknowledgment processes with personal and detailed letters
  • Assist with logistics of events for VCUarts and the ICA
  • Enter donor and event data into VCU donor database
  • Support data integrity for donor information in philanthropy services
  • Share and update contact and biographical information
  • Assist with correspondence and reports for endowment donors
  • Assemble development proposals for prospective donors
  • Serve as initial point of contact for the office and escalate as needed
  • Maintain confidentiality in sensitive issues
  • Record meeting minutes and follow-up actions
  • Draft topics for development team meetings and agendas
  • Schedule volunteer and donor committee meetings and coordinate logistics
  • Collaborate with finance, marketing, and faculty on development tasks
  • Participate in trainings and share information with the team
  • Contribute to team projects with collaboration
  • Anticipate project needs within budget and deadlines
  • Ensure compliance with DAR policies and deadlines
  • Provide briefings to VCUarts and ICA leadership when appropriate

Department Summary

The mission of VCU’s Office of Development and Alumni Relations (DAR) is to maximize philanthropicsupport by engaging stakeholders with our institution, working inpartnership with all VCU schools, programs and campuses as onedevelopment and alumni relations community and implementing thebest practices and efficient strategies to achieve a comprehensivedevelopment program.

Duties & Responsibilities

The Senior/Development Coordinator works directly with Developmentand Alumni Relations (DAR) colleagues to achieve VirginiaCommonwealth University’s (VCU) fundraising and engagement goals byperforming a wide variety of administrative, logistical,operational, and technical tasks for designated colleges, schools,and units (CSU). The Senior/Development Coordinator serves as thecentral point of contact for responding to constituent inquiries,anticipating volunteer and donor needs for information andleveraging university resources for the VCU School of the Arts(VCUarts) fundraising team, which focuses on generating supportforall arts programs, including the Institute for Contemporary Art(ICA).

The School of the Arts development team has the unique opportunityto make final determination of duties, working title, and salarybased on the knowledge, skills, and experience of the candidatepool. Candidates with varying levels of experience are encouragedto apply and will be considered equally.

As the Development Coordinator, you will:
  • Provide support for administrative needs, including but notlimited to, managing calendars, planning travel and donor visititineraries, conducting and compiling preliminary research forproposals and other projects, drafting letters and briefs,maintaining documentation, providing fiscal/budget support, andproject management;
  • Provide timely and accurate travel, purchasing, andreimbursement assistance for fundraising staff;
  • Coordinate, implement, and track donor acknowledgment processesby drafting personal and detailed acknowledgment letters and otherspecial correspondence as needed;
  • Assist with the logistical details of event planning, includingout of town events and tours, that support fundraising and alumniengagement for VCUarts and the ICA, such as dinners, tours,receptions, and other events;
  • Enter development interactions with donors and eventparticipation data into VCU’s donor database;
  • Provide assistance with donor and gift intent data integrity toPhilanthropic Services, when issues of clarification arise;
  • Share and update changes of contact information andbiographical records;
  • Assist with correspondence, mailings and reports for endowmentdonors and donors in the university’s annual and planned givingsocieties;
  • Assist in assembling development proposals that are presentedto prospective donors, including foundations and corporations;
  • Serve as the initial point of contact for the office; determinematters that require the attention of others and refer and elevateas needed;
  • Maintain confidentiality while determining appropriateresponses to sensitive and complex issues;
  • Take and share meeting minutes and follow up with colleagues onidentified action items;
  • Draft and collect topics for development team meetingagendas;
  • Schedule volunteer and donor committee meetings and providelogistics, agenda setting, note taking, and follow-up support;
  • Collaborate with finance, marketing and communications, facultyand curatorial colleagues on development and fundraising tasks andprojects;
  • Participate in trainings and share information with theteam;
  • Serve as an active team player in projects or activities thatrequire full team collaboration;
  • Anticipate project needs and discern priorities within budgetand deadline;
  • Ensure that the VCUarts development team is reminded about,aware of, and adhering to DAR-generated policies anddeadlines;
  • Ensure that the Office of the Dean of VCUarts and Office of theExecutive Director of the ICA are provided with project and eventbriefings as is appropriate to their involvement, in a timelymanner.
As the Senior Development Coordinator, you will be responsiblefor all of the above, as well as:
  • Assist with the strategic planning and execution of events,providing new ideas and ways to improve current and future donorand alumni events for VCUarts and the ICA;
  • Support donor relations/stewardship projects and initiatives,including tracking university gift agreements;
  • Assist in the creation of development proposals that arepresented to prospective donors, including foundations andcorporations;
  • Think strategically, anticipating necessary actions andproviding solutions and supporting materials independently.

Qualifications
Minimum Qualifications
  • One or more years of experience working in customer service,donor relations, or other public-facing roles, particularly innon-profit or higher education settings
  • Undergraduate degree from an accredited university, orequivalent experience in a fast-paced, complex environment
  • Experience with scheduling and calendar management(specifically Google Calendar) for large groups and forsenior-level staff
  • Computer proficiency and experience with Word, Excel,PowerPoint, Adobe, and Google Suite
  • Availability to work occasional evenings (1-2 per month) andweekend events (1-2 per year)
  • Ability to manage time efficiently, prioritize work, handlemultiple projects simultaneously, anticipate needs, and providesolutions to work-related questions and opportunities
  • Ability to implement and manage budgets and project plans
  • High level of customer service with the ability to communicateeffectively with both internal and external audiences
  • Ability to navigate complex working environments with multiplestakeholders and willing and able to ask for help as needed
  • Motivated by mission-driven work
  • Demonstrated ability to work in and foster an environment ofrespect, professionalism and civility with a population of faculty,staff, and students from all backgrounds and experiences, or acommitment to do so as a staff member at VCU
Preferred Qualifications
  • Experience managing and tracking travel reimbursements andknowledge of procurement policies and procedures
  • Experience with facilitating stewardship and donor relationsinitiatives
  • Experience planning and executing events
  • Previous experience working in a non-profit organization and/oruniversity advancement
  • Interest in the arts or creative fields
