Basic Function
Reporting directly to the Vice President for Growth andAdvancement, the Senior Coordinator for Growth and Advancementprovides high-level administrative, operational, and projectcoordination support to the Vice President and assigned areas underthe Vice President's leadership. The position coordinates projects,communications, meetings, reporting, and operational activities;supports fundraising, donor and prospect activities and otherfunctional areas as assigned; and serves as a key point ofcoordination for internal and external constituencies. Theincumbent exercises a high degree of initiative, discretion, andindependent judgment in the performance of assigned duties.
Representative Duties
- Anticipate and coordinate donor and prospect communications andactivities in support of Growth and Advancement goals.
- Provide high-level administrative and operational support tothe Vice President for Growth and Advancement, includingcoordination of priorities, schedules, meetings, communications,travel, expenses, and follow-up.
- Provide administrative, project, and operational support tofundraising staff and other areas under the Vice President'sleadership as assigned.
- Coordinate cross-functional projects and initiatives involvingassigned areas under the Vice President's leadership; tracktimelines, action items, deliverables, and follow-up to supporttimely completion.
- Facilitate leadership and team meetings within the VicePresident's areas of responsibility as assigned, including agendadevelopment, preparation of materials, scheduling, logistics,documentation, and follow-up.
- Keep the Vice President for Growth and Advancement apprised ofrequired event attendance, approaching deadlines, pending matters,project status, and other requested information.
- Coordinate and prepare materials for donor and prospectmeetings, fundraising activities, presentations, special projects,and other assigned initiatives.
- Facilitate communications with donors, prospects, and keystakeholders on behalf of the Vice President for Growth andAdvancement.
- Compose and prepare correspondence, reports, presentations,meeting materials, and other documents from notes, briefinstructions, or source materials.
- Collect, compile, organize, and analyze statistical, financial,and operational information for reports and presentations to theBoard of Regents, Executive Cabinet, University leadership, andother constituencies as assigned.
- Provide administrative and coordination support to theAdvancement Committee of the Board of Regents, includingpreparation and coordination of agendas, presentations, supportingmaterials, meeting logistics, minutes, and follow-up.
- Assist with planning and coordinating workshops, strategicmeetings, regular team meetings, special events, projects, andactivities within assigned areas.
- Prepare and process operational and financial documents relatedto business operations, including purchasing, contracts, requestsfor payment, expense documentation, credit card reconciliation, andother assigned transactions.
- Manage and monitor the Vice President's budget in collaborationwith the AVP for Advancement Operations.
- Create, develop, maintain, and update specialized forms,databases, logs, files, records, reports, and other resourcesnecessary to support assigned operations and projects.
- Coordinate updates to office procedures, operational resources,emergency information, and other administrative records asassigned.
- Review operational processes and recommend improvements tosupport efficiency, consistency, and effective coordination acrossassigned areas.
- Coordinate implementation of operational plans, priorities,procedures, and initiatives within assigned areas under the VicePresident's leadership.
- Respond to inquiries and requests for information related toassigned responsibilities and coordinate appropriate follow-up orreferral.
- Provide training support and coordination for onboarding newstaff within assigned areas.
- Perform other related duties as assigned to support theresponsibilities and priorities of the Vice President for Growthand Advancement.

- Communicate effectively and diplomatically with donors,University leadership, employees, and other internal and externalconstituencies.
- Identify issues, solve problems proactively, and recommendimprovements to administrative and operational processes.
- Establish effective working relationships and coordinate workacross multiple functional areas.
Minimum Qualifications
Any combination equivalent to a Bachelor's degree from anaccredited college or university and four years of responsibleexecutive, administrative, operational, or project coordinationexperience involving significant variability, complexity, andresponsibility.
Preferred Qualifications
Five or more years of progressively responsible experience inexecutive support, office operations, project coordination,advancement, fundraising, enrollment, higher education, nonprofit,corporate, or a related environment.

Physical Abilities
Detect to understand appropriate written correspondence; operate acomputer and other office productivity machinery, such as acalculator, copy machine, and computer printer; communicate toexchange information in person, in writing, on the telephone and byemail; stationary position for extended periods of time; move ortransport light objects; position self to store and/or retrievefiles.
Working Environment
In-person, busy office environment; subject to frequentinterruptions and regular interaction with internal and externalconstituencies. Occasional evening and weekend work may be requiredto support University events and activities.
Hiring Range
$30.00-$38.00
