Job summary

The Academy of Motion Picture Arts and Sciences is seeking a Senior Coordinator, Communications to support the Marketing, Communications and Content team in Beverly Hills. This role handles calendars, travel, invoices, and project support, working closely with the VP of Communications and Talent Relations.

Key responsibilities include coordinating internal/external meetings, supporting events such as Student Academy Awards and Oscar-related activities, monitoring press coverage, and assisting

Qualifications

  • Required bachelor’s degree or equivalent.
  • Minimum two years of admin support experience, preferably in film/entertainment/PR.
  • Proficient with MS Office; CRM/database familiarity is a plus.
  • Strong communication and deadline-driven performance in fast-paced environments.

Responsibilities

  • Schedule meetings and travel; manage invoices and expenses.
  • Provide logistical support for internal and external meetings.
  • Support events, press opportunities and Academy programs.
  • Monitor press inquiries and assist with publicity materials.

Job Type: Full time – Regular


Job Classification: Hourly (non-exempt)


Workplace Location: Beverly Hills – 8949 Wilshire


Compensation: $25 - $27



Summary/Objective

The Senior Coordinator will provide administrative support to the Academy's Communications team. You will manage calendars, relay timely and sensitive messages and information, process documents, book travel, support publicity efforts and events, and manage projects as assigned. You will work collaboratively and strategically across Academy-wide initiatives and programs.



Essential Functions of the Job


  • In support of the VP, Communications and Talent Relations, schedule meetings, sessions and calls, make travel arrangements, and manage invoices and expense reimbursements.

  • Provide logistical and administrative support for internal and external meetings.

  • Work with team members on various special events and press opportunities, including the Student Academy Awards, Gold Rising events, member meetings, Academy Museum events and all Oscar-related special events.

  • Monitor publicity inbox and press coverage, daily press distribution, press list maintenance. Respond to press inquiries in a timely manner.

  • Member communications support as assigned.

  • Support talent relations team with logistics, including but not limited to booking travel/car service, grooming and on-site assistance.

  • Process invoices and track expense reimbursements for department and senior leaders.

  • Maintain confidential records, data and documents pertaining to department administrative needs and any notes and data related to those files.

  • Review a variety of documents for proper formatting and spelling to ensure consistent output.

  • Other duties and special projects as assigned.



Required Competencies


  • A bachelor's degree is required. An equivalent combination of education and experience will be considered in lieu of the degree.

  • Minimum two years of administrative support experience is required; experience performing these duties in a film, entertainment, and PR agency work environment is preferred.

  • Intermediate knowledge of MS Office applications (Outlook, Word, Excel and PowerPoint). Experience with relational databases a plus (CRM desired).

  • Proven work experience in meeting deadlines and remaining flexible to last-minute changes in a fast-paced and high-pressure environment.

  • Outstanding communication skills, including highly professional verbal and written communication skills with special attention to detail and accuracy.

  • Availability to work some nights and weekends as needed and possibly assigned on short notice.
