Responsibilities

  • Enters accounting and financial statements, contracts, payrolls, receipts and similar materials into the appropriate system and submits to authorizing officials.
  • Schedules IEP and other special education meetings, coordinates calendars for assessors, service providers, school site staff and families, and arranges interpretation as needed.
  • Receives and communicates with families, school site staff and the general public in connection with providing information about special education programs and services.

Salary: $31.95 / hour

Appointment Type: Temporary Exempt, As-Needed (what does this mean?)

Length of Appointment: Appointment not to exceed 1,040 working hours in a one (1) year rolling period. This position is excluded by the Charter from the competitive Civil Service examination process and shall serve at the discretion of the appointing officer.

Under general supervision, the 1426 Senior Clerk Typist works on an as-needed basis in Special Education Services and performs difficult and specialized typing and office clerical work in connection with the preparation and maintenance of a wide variety of operating, financial, purchasing, accounting and similar records and reports, including confidential special education records; may supervise a small group of subordinate typing and clerical personnel engaged in varied clerical work; and performs related duties as required.

Requires responsibility for: interpreting, carrying out and enforcing existing departmental methods and procedures in connection with office operations; making regular contacts with other departmental personnel, school site staff, families, the general public and outside organizations relative to office operations; preparing, checking and reviewing detailed and important office operational records and reports.

Essential Duties

The duties specified below are representative of the range of duties assigned to the job code/class and are not intended to be an inclusive or exhaustive list.

  • Provides clerical support to special education programs, including preparing, assembling and distributing IEP meeting notices, assessment plans and related documents
  • Maintains confidential student special education records in accordance with FERPA, IDEA and District policy, including filing, scanning and processing records requests
  • Enters and updates student, program and case data in District special education information systems and tracks compliance timelines for assessments and IEP meetings
  • Schedules IEP and other special education meetings, coordinates calendars for assessors, service providers, school site staff and families, and arranges interpretation as needed
  • May assign, supervise and review the work of subordinate clerical personnel in the performance of routine and somewhat varied clerical tasks
  • May supervise and participate in the maintenance of a large variety of detailed clerical records, reports and similar materials
  • Independently composes correspondence relative to standard or routine office operations
  • Compiles and condenses data from various sources which requires an understanding of problems and terminology involved and relevant rules and regulations governing such activities
  • Enters accounting and financial statements, contracts, payrolls, receipts and similar materials into the appropriate system and submits to authorizing officials, frequently requiring the use of independent judgment
  • Monitors budget by logging purchases for contracts, purchases and other office needs in a spreadsheet or ledger, may assist in budget planning
  • May compose and type routine correspondence requiring knowledge of departmental operations and regulations
  • Receives and communicates with families, school site staff and the general public in connection with providing information about special education programs and services and/or directs them to the appropriate personnel
  • May receive and account for moderate amounts of money
  • Receives, organizes and files a variety of information and data in connection with the maintenance of office records
  • Assembles materials and information from various sources relative to the typing of various documents and distributes to staff and/or the general public
  • Operates various office machines
  • Checks and reviews a variety of documents for sufficiency and conformance to established standards and requirements
  • Submit and track work order requests for building maintenance issues
  • Purchase, inventory and monitor the use of office supplies
  • Other duties as assigned

  • Experience providing clerical or administrative support in a special education, student services or other setting with strict confidentiality and compliance timelines
  • Familiarity with special education processes and terminology, including IEPs, assessment plans, and related state and federal timelines
  • Strong analytics and systems thinking necessary to interpret data to inform goals and strategy, as well as build infrastructure where none exists
  • Ability to work effectively across multiple functions and roles within a complex organization
  • A proven record of effectively planning, organizing and using resources to take action and achieve goals

Minimum Qualifications

Two (2) years of verifiable clerical experience including at least one year at a level comparable to a 1424 Clerk Typist. Experience must have included data entry, preparing and maintaining a wide variety of documents and reports, public contact, checking and reviewing documents for completeness, and performing mathematical computations. Working as a sales clerk or restaurant help does not qualify.

Substitution

A recognized clerical training program of 240 hours or the equivalent of 15 semester units in graded clerical college units may substitute for up to 6 months of experience.
