Senior Business System Analyst / Document Manager

Location: Fully Remote – USA (Central or Eastern Time preferred)

Contract Duration: 24 months (with potential extensions)

About the Opportunity

Join a forward-thinking, results-driven team as our Senior Business System Analyst / Document Manager. In this remote role, you’ll lead the digital transformation of document workflows and Jira-driven processes across the organization. Expect a dynamic environment where your analytical insights and systems expertise directly impact operational efficiency and strategic decision-making. This is a fully remote position that offers the autonomy and flexibility to truly own your domain—from governance to execution.

Key Responsibilities

Document Management System Administration

  • Oversee and optimize document management systems (DMS), ensuring robust metadata standards and version-control protocols.
  • Manage system migrations from legacy tools into modern repositories with minimal disruption.
  • Monitor system health, troubleshoot bottlenecks, and collaborate with IT teams on enhancements and security configurations.

Jira & Agile Workflow Design

  • Design, configure, and automate Jira workflows to enhance visibility and alignment across agile teams.
  • Create actionable dashboards and custom reports to track key metrics and project progress.
  • Advocate for automation and continuous process refinement as the Jira system expert.

Training, Support & Documentation

  • Produce engaging guides, SOPs, and training modules to boost user adoption and minimize friction.
  • Conduct onboarding and regular training sessions for diverse stakeholders.
  • Act as primary support liaison, resolving issues or escalating to technical teams as needed.

Analytics & Governance

  • Monitor document usage and lifecycle trends to support compliance and retention objectives.
  • Carry out audits for data integrity and adherence to governance standards.
  • Present insights and recommendations to leadership for system enhancements and strategic planning.

Qualifications & Skills

  • Bachelor’s degree in business, Information Management, Library Science, or a related field.
  • Minimum 3 years of experience in Jira Cloud administration, including workflows, automation, and custom reporting.
  • 3–5 years of experience in document or records management and digital asset systems.
  • Familiarity with platforms like SharePoint, M-Files, or FileNet preferred.
  • Comfortable working in an agile framework and collaborating with technical teams.
  • Strong communicator with excellent analytical and stakeholder engagement skills.
  • Self-starter with the ability to juggle multiple priorities independently.

Preferred Bonus Skills:

  • Experience with Microsoft Power Platform and SQL
  • Certifications such as CRM or IGP in document/records management.
  • Knowledge of metadata taxonomy and compliance standards.
