Job summary

Valley National Financial Advisors seeks a Senior Back Office Operations Associate to strengthen our Operations team. The role focuses on onboarding, account maintenance, transfers, and money movement, while ensuring regulatory compliance and accuracy.

You will help optimize workflows, document procedures, and support advisors with day-to-day operational needs in a collaborative, growth-oriented environment.

Qualifications

• Bachelor's degree in Business, Finance, Economics, or related field, or equivalent experience.
• 3-5 years of experience in financial services operations, wealth management operations, RIA operations, broker-dealer operations, or related field.
• Strong understanding of account processing, client service operations, and financial industry workflows.
• Excellent organizational skills and attention to detail.
• Strong verbal and written communication skills.
• Ability to manage multiple priorities and meet deadlines in a fast-paced environment.
• Proficiency in Microsoft 365 applications, including Excel, Outlook, Teams, and Word.

Responsibilities

• Manage onboarding, maintenance requests, transfers, and money movement transactions.
• Process client paperwork accurately while maintaining compliance with firm and regulatory requirements.
• Monitor workflows and follow through on outstanding items to ensure timely completion.
• Serve as a liaison between advisors, custodians, vendors, and internal departments.
• Support advisors and staff with operational questions and service requests.
• Identify opportunities to improve efficiency and streamline operational workflows.
• Assist with developing, maintaining, and documenting standard operating procedures.
• Support technology enhancements, workflow automation, and operational improvement initiatives.
• Participate in testing, implementation, and training activities related to new systems and processes.
• Serve as a knowledgeable resource for operations team members.
• Assist with onboarding and training new employees.
• Promote collaboration and best practices across departments.
• Provide support and coverage across operational functions as business needs require.
• Ensure account documentation and operational records are complete and accurate.
• Support internal audits, compliance reviews, and quality control processes.
• Maintain confidentiality of client and firm information.
• Follow established policies, procedures, and regulatory requirements.
• Assist with operational reporting and tracking key department metrics.
• Support special projects and strategic initiatives as assigned.
• Provide recommendations for improving service levels and operational effectiveness.
