Universal Orlando is seeking a Senior Associate, Business Solutions to manage key business operations for the Business Technology Solutions organization in Orlando. Qualifications

  • Experience coordinating multiple concurrent priorities, including leadership activities, operational planning, projects, and departmental initiatives.
  • Experience developing executive-level presentations, reports, business communications, and other materials used to support leadership decision-making and priorities.
  • Experience leveraging AI tools to improve business processes, automate workflows, enhance productivity, and support analysis.

  • Prioritize commitments and manage scheduling conflicts across executives.
  • Prepare meeting agendas, briefing materials, and leadership documentation.
  • Manage recurring leadership rhythms including reviews, planning, and updates.
  • Handle confidential information with discretion.
  • Partner with Talent & Culture, Finance, Procurement, Facilities, and technology teams.
  • Support workforce planning and onboarding coordination.
  • Lead initiatives from planning to execution with cross-functional stakeholders.
  • Independently manage complex calendars and travel for executives.
  • Plan department-wide meetings and engagement activities.
  • Participate in Environmental, Health & Safety responsibilities as required.
  • Perform other duties as assigned.

JOB SUMMARY:

The Senior Associate, Business Solutions is responsible for managing key business operations and organizational processes supporting the Business Technology Solutions organization. This role serves as a strategic partner to departmental leadership, independently managing executive operations, departmental communications, operational reporting, knowledge management and organizational planning activities. The positions owns and continuously improves business processes that support leadership effectiveness and department operations while coordinating priorities across executives, business stakeholders and cross-functional teams. The Senior Associate exercises independent judgement in managing competing priorities, resolving operational issues, coordinating escalations and identifying opportunities to improve organizational efficiency, communication and team member experience.


MAJOR RESPONSIBILITIES:


  • Own and manage key departmental business operations, processes, and operating rhythms supporting the Business Technology Solutions organization.

  • Develop, maintain, and continuously improve operational processes, procedures, and workflows that improve organizational efficiency and consistency.

  • Track departmental priorities, initiatives, decisions, commitments, action items, and key deliverables, providing leadership with visibility into status, risks, required follow-up, and emerging issues.

  • Identify operational gaps, develop and recommend solutions, and lead implementation of approved improvements that enhance departmental effectiveness, communication, and team member experience.

  • Coordinate escalations across business and technology teams, ensuring appropriate stakeholders are engaged and issues are effectively communicated through resolution.

  • Develop and convey departmental business priorities, organizational initiatives, operational updates, and leadership messages across multiple communication channels, including leadership updates, departmental meetings, presentations, newsletters, organizational announcements, and recurring operational reports.

  • Synthesize information from functional teams and stakeholders to develop consolidated departmental updates, reports, presentations, and leadership communications.

  • Own and administer departmental SharePoint sites, collaboration spaces, document libraries, and knowledge repositories, including information architecture, content governance, and access management.

  • Establish and maintain standards for departmental documentation, templates, communications, and knowledge management.

  • Develop and maintain executive dashboards, operational reports, and other materials that provide leadership visibility into department activities and priorities.

  • Exercise judgment in prioritizing leadership commitments, resolving scheduling conflicts, and coordinating competing organizational priorities.

  • Develop meeting agendas, briefing materials, presentations, and supporting documentation for leadership meetings and business reviews.

  • Manage recurring leadership and departmental operating rhythms, including business reviews, planning sessions, leadership meetings, and organizational updates. Support business operations across financial and budget planning, workforce and resource planning, portfolio and initiative tracking, organizational priorities, operational performance, and departmental communications by coordinating inputs, analyzing and preparing information, tracking actions and decisions, and driving appropriate follow-through.

  • Handle confidential business, organizational, and leadership information with a high degree of discretion.

  • Serve as a Business Operations partner to Talent & Culture, Finance, Procurement, Facilities, and technology teams, representing departmental requirements, coordinating cross-functional initiatives, resolving operational issues, and ensuring alignment with departmental priorities.

  • Support workforce planning, onboarding coordination, organizational changes, and other department readiness activities.

  • Lead assigned business initiatives and special projects from planning through execution, coordinating stakeholders, timelines, deliverables, dependencies, risks, and communications to ensure successful completion.

  • Independently manage complex calendars, travel, meetings, and scheduling priorities for multiple executives, including the Vice President and assigned Directors.

  • Plan and coordinator department-wide meetings, team events, recognition activities, workshops, and organizational engagement initiatives.

  • Understands and actively participates in Environmental, Health & Safety responsibilities by following established UO policy, procedures, training and team member involvement activities.

  • Performs other duties as assigned.


QUALIFICATIONS:


  • Excellent verbal and written communication skills with the ability to interact professionally and effectively with executives, business stakeholders, and cross-functional teams.

  • Exceptional organizational, planning, and time management skills with the ability to manage multiple priorities and competing deadlines.

  • Ability to coordinate complex executive calendars, travel, meetings, and organizational events for multiple leaders.

  • Strong presentation, documentation, and business writing skills, including the preparation of executive reports, meeting agendas, presentations, and communications.

  • Proficiency with Microsoft 365 applications, including Outlook, Teams, Word, Excel, PowerPoint, and SharePoint.

  • Proficiency with project management, collaboration, and reporting tools such as ClickUp, ServiceNow, Power BI, or similar platforms.

  • Strong analytical skills with the ability to collect, organize, analyze, and present information to support operational and leadership decision-making.

  • Ability to identify opportunities for process improvement and implement solutions that improve operational efficiency and organizational effectiveness.

  • Ability to maintain collaboration sites, document repositories, and knowledge management resources.

  • Ability to exercise discretion and maintain confidentiality when handling sensitive business and personnel information.

  • Ability to travel occasionally to support leadership engagements, departmental meetings, team events, and other business needs as required.


EDUCATION:


  • Bachelor’s degree from a four-year college or university in Business Administration, Communications, Information Systems or a related field is preferred.


EXPERIENCE:


  • 2+ years of progressive experience in business operations, executive support, project coordination, or a related business support function; or an equivalent combination of education and relevant work experience.

  • Demonstrated experience supporting senior leaders and coordinating business operations within a fast-paced, cross-functional organization.

  • Experience coordinating multiple concurrent priorities, including leadership activities, operational planning, projects, and departmental initiatives.

  • Experience developing executive-level presentations, reports, business communications, and other materials used to support leadership decision-making and organizational priorities.

  • Experience supporting cross-functional initiatives and partnering with stakeholders across multiple levels and functional areas of an organization.

  • Experience leveraging artificial intelligence (AI) tools and capabilities to improve business processes, automate workflows, enhance productivity, and support business analysis and decision-making.

  • Experience supporting technology organizations or operational departments is preferred.
