Job description

SAIC is seeking a Senior Administrative Specialist to provide full time support on-site in the Office of Information Counsel (OIC) working as part of contract team with the DoD Office of the General Counsel (OGC).

Responsibilities to Include:

  • Coordinate with OSD/JS and DoD components for review of responsive records and delivery of cases to and from component offices.
  • Assist in the identification of information exempt from release in accordance with the applicable statutes and regulations and application of the appropriate exemptions to the information.
  • Conduct appropriate coordination, as needed, and document accordingly.
  • Provide reproduction of documents required for request and/or case records.
  • Coordinate follow-up of agency coordination to determine review status.
  • Provide registration of casework, to include Classified Document Registries and other office administrative functions (scanning materials, filing records, maintaining tracking materials and tools, among other functions).
  • Maintain database/records management for each case using the OGC records management and case processing system.
  • Provide preliminary review, analysis, and support for civil litigation cases, congressional inquiries and investigations, Privacy and Civil Liberties matters, FOIA requests, tasked initial FOIA cases, and other matters tasked to OGC.
  • Prepare travel arrangements for federal staff.
  • Input weekly updated information into various case management systems.
  • Track and manage casework using OGC and DoD databases (CATMS, STS, Teams applications, excel sheets, etc.).
  • Prepare internal and external correspondence for case attorneys for approval and release.
  • Perform escort duties within workspaces as necessary.
  • Review information that is potentially relevant to ongoing litigation and properly identify responsive information for further processing.
  • Hand carry legal actions and packages to and from coordinating offices.
  • Perform both general office duties (e.g., answering telephones, typing, and filing) and advanced administrative support activities that require independent judgment and a thorough knowledge of policies and procedures.
  • Manage senior leadership calendars and organize office-level meetings, entrance into various locations, parking, materials, and equipment.
  • Facilitate external meetings, working groups, and technical and operational challenge interchange meetings.
  • Coordinate closely with OGC(Legal Counsel) and OGC(Litigation Counsel).

Qualifications

Required Experience/Skills:

  • Years of experience will be accepted in lieu of a degree.
  • Three years of relevant experience including experience using and maintaining SharePoint sites, database management, experience using the Microsoft Office Suite including maintaining electronic tracking spreadsheets, creating electronic and paper folders, and creating and organizing case files.
  • Fluency with, and understanding of, DoD, Joint Staff, and the Military Departments standards of practice.

Desired Experience and Education:

  • Bachelor’s Degree.
  • Previous government, law office, corporate general counsel office, or JAG office experience.
