Job summary

First Horizon Corporation is seeking a Senior Administrative Assistant to support the Market President and ensure seamless day-to-day office operations in Fort Myers. This role coordinates events, manages facilities, and supports CRA initiatives while providing essential administrative assistance to management and staff.

You will monitor executive calendars, prepare meeting materials, and liaison with community partners to maximize the bank's community impact.

Qualifications

  • High school diploma or GED with at least 3 years of experience in a similar role.
  • Strong organizational and time-management skills.
  • Proficiency in Microsoft Office and ability to learn new software.
  • Experience coordinating events and supporting office operations.

Responsibilities

  • Oversee general office operations including supply management for the team, vendor relationships, and facility maintenance to create an efficient and professional environment for associates and our clients
  • Assists in coordinating executive schedules
  • Schedules and prepares for meetings, programs, events, or conferences including arrangements for internal and external location setups and catering services as appropriate
  • Prepares agenda, handouts, documents, and/or any other information for scheduled meetings
  • Screens incoming calls and correspondence and responds independently when possible
  • Composes and prepares confidential correspondence, reports, and other complex documents
  • Reviews and disseminates information received from other departments and external sources
  • Organizes and maintains file system, and files correspondence and other records
  • Creates and maintains databases and spreadsheet files
  • Researches, compiles, and analyzes data for special projects and various reports
  • Assists in the day-to-day management of relationships with non-profit community partners and colleagues in maximizing Company impact in the community
  • Performs all other duties as assigned

SUMMARY

The Senior Administrative Assistant reports directly to the Market President and is responsible for ensuring the seamless day-to-day operations of the office, coordinating events, managing facilities, and supporting Community Reinvestment Act (CRA) initiatives and relationships. This key associate role provides administrative and organizational support to management and associates, while also serving as a liaison for community engagement activities.

Weekly Scheduled Hours

Monday - Friday 8:30 am - 5 pm

ESSENTIAL DUTIES AND RESPONSIBILITIES

  • Communication - Strong written and verbal communication skills for interacting with associates, external partners, vendors, and our clients. Ability to produce clear, professional correspondence and event materials
  • Problem Solving - Proactive approach to identifying issues related to office operations, facilities, and event logistics, and implementing effective solutions
  • Attention to Detail - Meticulous in managing records, scheduling, facility needs, and CRA compliance documentation
  • Customer Service - Demonstrates a high level of professionalism in supporting associates and responding to the needs of our clients during events and community initiatives
  • Event Planning - Experience or aptitude for organizing meetings, events, and community engagement activities, including budget management, logistics, and vendor coordination
  • Technical Proficiency - Proficient in Microsoft Office suite (Word, Excel, Outlook, PowerPoint); ability to learn and use project management, facilities booking, or event coordination software
  • Facility Management - Basic knowledge of building maintenance operations, safety protocols, and workspace optimization for associates.
  • Community Engagement - Interest or experience in supporting CRA and corporate social responsibility initiatives; ability to coordinate volunteer opportunities and track community impact
  • Adaptability - Flexibility to adjust to changing priorities and support a positive team environment
