Qualifications

  • Bachelor's degree in Accounting, Finance, or related discipline required.
  • 10+ years experience in general accounting.
  • Hands-on with QuickBooks Online required.
  • Experience with JobDiva CRM/ATS or similar staffing software preferred.
  • Strong knowledge of Accounts Receivable, Accounts Payable, General Ledger, reconciliations, and financial reporting.
  • Experience managing month-end close processes.
  • Advanced Microsoft Excel skills, and financial reporting.

Responsibilities

  • Maintain the integrity and accuracy of the General Ledger.
  • Prepare and post journal entries, accruals, prepaid expenses, and adjusting entries.
  • Lead month-end and year-end close activities, ensuring timely completion.
  • Assist in preparing monthly financial statements and supporting schedules.
  • Analyze account activity and investigate discrepancies.
  • Ensure compliance with U.S. GAAP and company accounting policies.
  • Assist with annual audits and tax preparation by providing requested documentation.
  • Manage the full-cycle Accounts Receivable process for staffing and recruiting clients.
  • Generate and reconcile customer invoices using JobDiva and QuickBooks Online.
  • Monitor AR aging reports and proactively manage collections.
  • Apply customer payments and reconcile outstanding balances.
  • Research and resolve billing discrepancies with clients and internal teams.
  • Partner with recruiters, account managers, and operations to ensure billing accuracy.
  • Prepare weekly AR and cash collection reports for management.
  • Process vendor invoices and employee expense reimbursements.
  • Maintain vendor files and ensure proper documentation.
  • Reconcile vendor statements and resolve invoice discrepancies.
  • Prepare weekly payment runs through QuickBooks Online or ACH.
  • Monitor AP aging and maintain strong vendor relationships.
  • Ensure compliance with company purchasing policies and approval workflows.
  • Maintain accurate accounting records within QuickBooks Online.
  • Reconcile billing and placement data between JobDiva CRM and QuickBooks Online.
  • Support integrations between JobDiva, payroll, and accounting systems.
  • Identify opportunities to automate manual accounting processes.
  • Ensure accurate customer, vendor, and job-related financial data.
  • Recommend improvements to accounting procedures and internal controls.
  • Develop standardized documentation for accounting processes.
  • Assist with budgeting and forecasting activities.
  • Support special projects and financial analyses requested by the Director of Accounting.
  • Participate in accounting system upgrades and process automation initiatives.

Senior Accountant

Department: Finance & Accounting


Reports To: Director of Accounting


Position Summary

The Senior Accountant is responsible for managing the day-to-day accounting operations of a growing staffing and recruiting organization. This position plays a critical role in maintaining accurate financial records, overseeing Accounts Receivable (AR), Accounts Payable (AP), General Ledger (GL) activities, and supporting month-end and year-end close processes. The Senior Accountant works closely with the Director of Accounting to ensure financial accuracy, strengthen internal controls, and improve accounting processes. This role requires experience with QuickBooks Online, and high-volume accounting in a service-based business, preferably within the staffing and recruiting industry.


Essential Responsibilities

General Ledger & Financial Accounting


  • Maintain the integrity and accuracy of the General Ledger.

  • Prepare and post journal entries, accruals, prepaid expenses, and adjusting entries.

  • Lead month-end and year-end close activities, ensuring timely completion.

  • Assist in preparing monthly financial statements and supporting schedules.

  • Analyze account activity and investigate discrepancies.

  • Ensure compliance with U.S. GAAP and company accounting policies.

  • Assist with annual audits and tax preparation by providing requested documentation.


Accounts Receivable


  • Manage the full-cycle Accounts Receivable process for staffing and recruiting clients.

  • Maintain accurate accounting records within QuickBooks Online.

  • Reconcile billing and placement data between JobDiva CRM and QuickBooks Online.

  • Support integrations between JobDiva, payroll, and accounting systems.

  • Identify opportunities to automate manual accounting processes.

  • Ensure accurate customer, vendor, and job-related financial data.


Financial Controls & Process Improvement


  • Recommend improvements to accounting procedures and internal controls.

  • Develop standardized documentation for accounting processes.

  • Assist with budgeting and forecasting activities.

  • Support special projects and financial analyses requested by the Director of Accounting.

Qualifications

  • Experience in the staffing, recruiting, professional services, or consulting industry strongly preferred.

  • Hands-on experience with QuickBooks Online required.

  • Experience using JobDiva CRM/ATS or similar staffing software preferred.

  • Strong knowledge of Accounts Receivable, Accounts Payable, General Ledger, reconciliations, and financial reporting.

  • Experience managing month-end close processes.

  • Advanced Microsoft Excel skills, and financial reporting.

  • Experience with temporary staffing, contract labor, direct hire, and placement fee billing.

  • Knowledge of payroll accounting and contractor billing.

  • Experience with multi-state operations.

  • Experience improving accounting workflows and implementing automation.


Key Performance Indicators (KPIs)


  • Timely completion of month-end close, target close date is 7-10 business days after month end.

  • Accuracy of financial statements and reconciliations.

  • Reduction in outstanding Accounts Receivable aging.

  • Timely processing of Accounts Payable.

  • Accurate reconciliation between JobDiva and QuickBooks Online.

  • Compliance with internal controls and accounting policies.

  • Continuous improvement of accounting processes and reporting.
