Job summary

Hankin & Pack PLLC in Charlotte, NC seeks a Seller Representation Coordinator to manage seller communications and closing package preparation throughout real estate transactions. This in-office role partners with file opening, drafting, and closing teams to ensure a smooth client experience from contract to closing.

You will handle inquiries, track progress, and maintain accurate notes, while ensuring deadlines are met and documents are accurate.

Qualifications

• 2+ years of real estate closing experience with a law firm, title or lending company.
• Knowledge of residential real estate contracts, closing procedures, and settlement statements.
• Excellent written and verbal communication skills, with a client-service mindset.
• Strong organizational skills and comfort managing multiple files/deadlines simultaneously.

Responsibilities

• Serve as the primary point of contact for sellers and buyer attorney offices throughout the transaction.
• Respond promptly and professionally to seller inquiries via phone and email.
• Coordinate with the drafting team to relay status updates and gather seller information.
• Flag issues or delays to internal teams.
• Maintain clear notes on all seller interactions.
• Prepare and assemble seller closing packages per firm standards.
• Send out seller packages ahead of closing from Charlotte office.
• Track package status and confirm receipt with sellers/other parties.
• Ensure packages are complete and compliant with firm and lender requirements.
• Coordinate with closing team on last-minute changes.
