Job summary

Pye-Barker Fire & Safety, LLC is seeking a Parts & Purchasing Coordinator to support our Install and Service teams. This role focuses on purchasing support, vendor communication, order tracking, inventory records, and coordinating materials for field teams.

The position includes warehouse support and local driving to vendors, supply houses, and job sites. Strong organizational skills and proficiency with computer systems are essential for day-to-day problem solving.

Qualifications

  • High school diploma or equivalent.
  • Experience using Microsoft Office and computer systems.
  • Experience in purchasing, parts coordination, inventory, logistics, construction support, service operations, or related field preferred.
  • Driver's license is required.

Responsibilities

  • Receive and coordinate parts and material requests from technicians, project managers, and branch leadership.
  • Assist with purchase orders and ordering materials from approved vendors.
  • Track open orders, back orders, and delayed materials and follow up as needed.
  • Research alternate suppliers or products when materials are unavailable.
  • Coordinate materials for technician and project needs.

The Parts & Purchasing Coordinator helps keep our Install and Service Technicians and project teams moving by making sure the right parts, materials, tools, and equipment are available when needed. This is a primarily office-based position focused on assisting with purchasing support, vendor communication, order tracking, inventory records, and coordinating materials for field teams. The role also includes warehouse support and local driving to vendors, supply houses, and job sites to pick up or deliver materials. This is a great fit for someone who is organized, comfortable working with parts and computer systems, and enjoys solving day-to-day operational problems.

Essential Duties & Responsibilities:
  • Receive and coordinate parts and material requests from technicians, project managers, and branch leadership.
  • Assist with purchase orders and ordering materials from approved vendors.
  • Contact suppliers for pricing, availability, delivery dates, and pickup information.
  • Track open orders, back orders, and delayed materials and follow up as needed.
  • Research alternate suppliers or products when materials are unavailable.
  • Maintain accurate purchasing, inventory, receiving, and vendor records; review purchase orders, packing slips, invoices, and shipments for accuracy.
  • Resolve issues involving incorrect, damaged, missing, or delayed materials.
  • Coordinate materials for technician and project needs.
  • Make local trips to vendors, supply houses, and job sites to pick up or deliver parts and materials.
  • Receive incoming shipments and organize materials for technician pickup.
  • Assist with inventory counts and keep the parts and storage area organized and safe.
  • Communicate with branch operations regarding urgent requests, material back orders.
Qualifications:
  • High school diploma or equivalent.
  • Experience in computer systems, including Microsoft Office.
  • Experience in purchasing, parts coordination, inventory, logistics, construction support, service operations, or a related field preferred.
  • Security and fire alarm systems, construction, or other skilled trades experience is a plus.
  • Experience working with purchase orders, invoices, inventory systems a plus.
  • Strong organizational skills and the ability to manage multiple priorities.
  • Good communication skills and confidence working with vendors and internal teams.
  • Valid driver's license and acceptable driving record.

  • Performs other duties as assigned.
Physical Requirements & Work Environment:
  • Ability to perform physical tasks including lifting, climbing ladders, and working in various environments.
  • Ability to lift 50+ pounds.
  • Work performed in commercial, industrial, and construction environments.
  • Exposure to varying conditions including heights, confined spaces, and active job sites.
  • Use of hand tools and testing equipment.
  • Ability to stand, walk, bend, and kneel for extended periods.
