Qualifications

  • Experience with computers and Windows-based programs is required.
  • Willing to learn district email, student records, payroll, and financial systems.
  • Excellent customer service and communication skills (verbal and written).
  • Ability to work independently with minimal direction.
  • Excellent organizational and record maintenance skills.

Responsibilities

  • Be the first contact for parents and visitors, providing positive service.
  • Schedule appointments and maintain calendars for administrators and activities.
  • Order and manage school supplies and equipment; process requisitions.
  • Dispense medication and maintain related records as requested.
  • Assist substitute teachers by documenting practices and time reports.
  • Support enrollment processes and parental involvement efforts.
  • Interact professionally with staff, students, parents, and community.

Job description

POSITION:

Secretary to the Assistant Principal

SCHEDULE:

8 hours/day - 5 days/week - 42 weeks/year

Essential Job Functions
  • Responsible for being a positive first contact person for parents and visitors.
  • Schedule appointments and maintain calendar for building administrator and building activities.
  • Responsible for ordering and maintaining inventory of all school supplies and equipment for all staff members, process purchase requisitions and supply requests.
  • Dispense medication and responsible for related record keeping, as requested.
  • Responsible for assisting assigned substitute teachers by defining school practice and preparing time reports for substitute teachers.
  • Assist the principal with implementing the student enrollment process and with parental involvement.
  • Interact with co-workers, administration, students, parents and the community in positive, supportive and cooperative ways.
  • Regular, reliable and punctual attendance
  • Other duties as assigned.
Preparation, Training, Education, And Experience
  • Post high school education in the field of secretarial skills and procedures or three years to five years successful experience as a secretary required.
  • Associates degree preferred.
  • Experience working with computers, required.
  • Working knowledge of Windows based programs required.
  • Willing and able to learn the district's e-mail, student records, payroll, and financial systems.
  • Excellent customer service and communication skills (verbal and written).
  • Ability to work independently with minimal direction.
  • Excellent organizational skills, including filing and record maintenance.
  • Work well with all employees, parents, students and community members.
