Job summary

Summa Health is seeking a detail-oriented administrative coordinator to support therapy services across physical, occupational, speech, and audiology departments. You will streamline workflows, handle data collection, and assist in billing-related tasks to maximize efficiency.

You will greet visitors, manage scheduling changes, track licenses, and support leadership with timely operational updates in a fast-paced healthcare environment.

Qualifications

  • High School Diploma or equivalent.
  • Three (3) years clerical experience in healthcare office settings.
  • Excellent interpersonal skills and customer service orientation.
  • Proficiency in MS Office (Word, Excel).
  • Working knowledge of basic medical terminology.
  • Organizational skills, multitasking, and independent problem solving.
  • Motivated, initiative-driven, and team-oriented in a fast-paced environment.
  • Strong written, verbal, and nonverbal communication; accountable for tasks.
  • Detail-oriented with flexible prioritization and confidentiality.
  • Team collaboration to support department goals and evolving demands.
  • Knowledge of healthcare hardware/software trends a plus.
  • Population-specific competency for patient/customer interactions.

Responsibilities

  • Coordinate internal office day-to-day administrative and operational activity workflows for Summa Therapy Services and ambulatory departments.
  • Provide clerical support, assist in data collection, report writing, timecard editing, and charge audits.
  • Order supplies, maintain license verification files, and monitor service requests.
  • Triage and dispatch calls professionally; greet visitors and handle deliveries.
  • Support therapy leadership by informing them of operational issues and budget considerations.

Summary

Coordinates internal office day to day administrative and operational activity workflows within the Summa Therapy Services departments as well as ambulatory therapy departments including but not limited to physical therapy, occupational therapy, speech therapy and audiology services to maximize efficiencies. Provides clerical and administrative program support and functions as a resource person for therapy clerical and clinical staff. Assists in data collection, report writing and refinement, timecard editing, completes charge audits and daily work queue reviews, correcting revenue related errors. Orders supplies, maintains primary source license verification files. Monitors/prioritizes phone calls from internal/external sources; triages/dispatches service requests professionally. Completes department invoice requests monitoring within budgetary targets and constraints. Greets visitors, students and accepts deliveries including mail. Supports therapy leadership by keeping them informed of operational issues.

Minimum Qualifications
  • Formal Education Required:
  • High School Diploma or equivalent.
  • Experience & Training Required:
  • Three (3) years clerical experience to include working with computers in a healthcare office role or similar setting.
  • Other Skills, Competencies and Qualifications:
  • Excellent interpersonal skills and attention to customer service.
  • Proficiency in MS Office (Word, Excel).
  • Working knowledge of basic medical terminology.
  • Ability to organize, multitask, make decisions, solve problems independently and implement actions including making changes to the schedule and answering phone questions.
  • Demonstrates high motivation, ability to take initiative, and work collaboratively in a fast paced, unpredictable environment.
  • Excellent written, verbal, and nonverbal communications skills, computer literate, assume accountability for assigned tasks and work flow decisions within timeframes and established deadlines.
  • Must be detail oriented and flexible prioritizing work.
  • Maintains confidentiality of patient, employee or financial records.
  • Ability to work well within a team environment by supporting strategic direction and department goals.
  • Knowledge and experience of hardware/software and trends in the healthcare industry environments a plus.
  • Population Specific Competency: Ability to effectively interact with populations of patients/customers with an understanding of their needs for self-respect and dignity.
  • Level of Physical Demands:
  • Light: Exerts up to 20 pounds of force occasionally and/or up to ten pounds of force frequently, and/or a negligible amount of force continuously.

The salary range on this job posting/advertising is base salary exclusive of any bonuses or differentials. Many factors, such as years of relevant experience and geographical location are considered when determining the starting rate of pay. Please keep in mind that the range that is listed is the full base salary range. Hiring at the maximum of the range would not be typical.
