Job summary

Qualifications

• Minimum of 1 year of accounting administrative experience, preferably in the construction industry.
• At least 1 year of accounts payable experience within a construction environment.
• Proficient written and verbal communication skills to interact with various stakeholders.
• Demonstrated experience working with Microsoft Excel.
• Ability to work independently, demonstrate initiative, set priorities, and ensure project completion.
• Keen attention to detail, strong time management, and organizational skills are essential.
• Commitment to providing excellent customer service.
• Familiarity with GCPay online billing platform and CMIC accounting software is a plus.
• Ability to function effectively within a team-oriented, shared inbox accounting environment.

Responsibilities

• Review subcontractor applications, lien releases, and supplier affidavits for accuracy and compliance with billing requirements.
• Notify subcontractors of any missing or non-compliant billing documents.
• Maintain ongoing communication with project managers and subcontractors throughout the payment process.
• Process subcontractor payments, ensuring all required documents and conditions are met.
• Utilize and maintain electronic filing systems for all subcontract documents.
• Verify prevailing wage requirements for subcontractors when applicable.
• Review subcontract agreements and change orders for accuracy; update accounting systems as needed.
• Process job cost transfers for materials, equipment, and other project-related expenses.
• Compile invoices and supporting documentation for monthly owner substantiation requirements.
• Perform general accounting and administrative tasks as assigned.
• Assist with other duties as needed to support the accounting and project management teams.
