Job Summary

The school clerk performs a wide variety of clerical and secretarial duties to organize, coordinate and schedule activities related to the Early Childhood Program. The school clerk assists the principal and the Director of Early Childhood in administrative tasks necessary for an efficient and effective office/program. The school clerk coordinates communications between administrators, District and site personnel, parents, students and the community.

Qualifications
  • High School Diploma or equivalent required.
  • Graduate of a recognized program of secretarial studies preferred.
  • One to two years’ experience as a secretary preferred.
  • Ability to effectively communicate verbally and in writing with staff, parents, and the public in a clear, articulate, and courteous manner.
  • Demonstrated proficiency using Microsoft Office programs, such as Word and Excel, other school-related software, and Google Suite applications.
  • Demonstrated proficiency in office related tasks such as typing, filing, and organization.
  • Ability to positively react to change productively and handle additional tasks as assigned.
  • Flexibility to work alone or with others in a wide variety of circumstances.
  • Ability to work cooperatively and effectively with students, parents/guardians, staff, administrators, and the public.
  • Bilingual (Spanish) preferred.
Primary Responsibilities
  • Inventories Child and Adult Care Food Program (CACFP) snacks.
  • Orders and cancels snacks based on inventory needs.
  • Distributes snacks daily to teachers during the morning and afternoon sessions.
  • Generates CACFP Meal Participation Record Forms for each teacher per session.
  • Reviews student files to ensure compliance.
  • Assists in enrolling students entering the program during quarterly screenings.
  • Manages the clerical aspects of the screening process.
  • Enrolls and updates data for Birth to Three (B-3) families in the program in PowerSchool.
  • Cross checks enrollment in PowerSchool and Penelope (B-3 Data system).
  • Creates a calendar of events for the Early Childhood Program.
  • Documents attendance of parents at B-3 playgroups.
  • Manages the Parent Lending Library for B-3 parents.
  • Inventories books and supplies for the B-3 program.
  • Places, receives and closes out orders for B-3 program.
  • Submits the Illinois State Board of Education Parent Outcomes and Parent Questionnaires for the B-3 program.
Salary and Benefits
  • Starting hourly pay of $17.93 per hour.
  • Ten sick days allotted per year.

Working Conditions
  • Work Hours: 8:00 a.m. to 3:30 p.m.
  • 10 ½ month position: August to mid-June.
  • This position requires regular travel between Horace Mann and Greenwood Schools.
