Role:
The School Clerk plays a pivotal role in establishing and maintaining the welcoming and professional atmosphere of our organization. Reporting directly to the school principal, this essential position is responsible for a wide range of administrative and office support tasks that are crucial to the smooth operation of the school. Key responsibilities include managing incoming communications, maintaining accurate records, handling data entry, and performing various clerical duties such as filing, copying, and word processing. The School Clerk ensures that daily operations run efficiently and that the school environment reflects our commitment to excellence and a positive work culture.
Essential Duties and Responsibilities:
Reception and Visitor Management: Serve as the first point of contact, warmly greeting and directing visitors, and managing incoming calls, ensuring they are routed to the appropriate staff or department efficiently.
Correspondence and Documentation: Prepare and type a variety of original correspondence, memorandums, and reports using computer software, ensuring accuracy and professionalism in all communications.
Mail and Package Management: Under the direction of the school principal or designee, sort and distribute incoming mail, packages, and school correspondence promptly and accurately.
Appointment Scheduling and Call Management: Schedule appointments for school administrators and manage incoming and outgoing calls for school personnel, ensuring smooth and organized communication.
Inquiry Response: Address inquiries from students, parents, guardians, and the general public regarding school operations and activities, providing clear and helpful information.
Student Records Management: Maintain accurate student attendance and enrollment records, process student transfers, and compile periodic reports on attendance and enrollment as required.
Transcript and Report Handling: Compile and forward student transcripts and other necessary reports to the appropriate parties, ensuring timely and secure handling of sensitive information.
Information Presentation: Effectively present information and respond to questions from administrators, staff, parents, and the general public, maintaining a high level of customer service.
Administrative Support: Take meeting minutes as needed, and create signage for holidays, programming, and updates to all displayed documentation on a monthly, quarterly, annual, or as-needed basis.
Inventory and Supplies Management: Assist with inventory management, stocking supplies, and completing daily cleanliness checks of common areas to ensure they are well-stocked and presentable.
Work Area Maintenance: Maintain a clean and organized work area, and perform closing duties by ensuring all points of entry are secure.
Additional Responsibilities: Perform other duties as assigned to support the overall functioning of the school.

Required Education and Experience:
A high school diploma or GED equivalent is required; an Associate's Degree is preferred.
Strong command of Microsoft Office Suite (Word, Excel, PowerPoint), Adobe, and Google Workspace (Gmail, Docs, Sheets).
Demonstrated ability to multitask effectively, with exceptional organizational skills and a strong commitment to providing excellent customer service.
Consistently maintains a professional attitude and appearance, contributing to a positive and welcoming school environment.
The ability to type a minimum of 45 words per minute with fewer than 10 errors.
Bilingual, English and Spanish are preferred
Must be at least 21 years of age or older.
