Job summary

Axia by Qcells is seeking an experienced Scheduling Specialist to manage project scheduling activities across the organization. You will review pipeline reports, identify projects ready for scheduling, and work with stakeholders to resolve issues that may delay progress.

Based in Irvine, CA; San Francisco, CA; or Santa Clara, CA, with an in-office schedule at the direct manager’s discretion. Remote work may be considered for exceptional cases.

Qualifications

  • 5+ years in Scheduling Specialist or Project Manager role in retrofit energy sector.
  • 3+ years in customer experience enhancement and stakeholder influence.
  • Strong prioritization and time management skills.
  • Client-facing and teamwork with negotiation abilities.
  • Experience with enterprise CRMs and risk management.

POSITION DESCRIPTION

Axia by Qcells is seeking an experienced Scheduling Specialist to manage project scheduling activities across the organization. In this role, you will review pipeline reports to identify projects ready for scheduling and work with stakeholders to resolve issues that may delay progress. Key responsibilities include identifying qualified installers in specific regions, sharing project details, coordinating schedules, confirming dates with homeowners, and ordering construction materials. You will collaborate with senior management and cross-functional teams to develop project plans that align resources, timelines, and budgets while ensuring five-star customer experience.

Success in this role means ensuring projects are delivered on time, within budget, and to the highest quality standards.

This position will be based out of one of our offices in Irvine, CA; San Francisco, CA; or Santa Clara, CA with a potential in-office schedule set at the direct manager’s discretion in accordance with the company policies and procedures. Remote work may be considered for exceptional cases.

Responsibilities
  • Analyze data and report on key scheduling metrics
  • Review pipeline reports to identify projects that are ready for a scheduling event
  • Root cause analysis to identify bottlenecks or challenges that are preventing the scheduling team from achieving scheduling quotas
  • Make recommendations for solving problems and work cross functionally and with leadership team to remove bottlenecks and improve throughput
  • Schedule projects with homeowners and Installation Partners
  • Send purchase request to procurement team to order bill of materials
  • Oversee a pipeline of projects at the Site Survey, Install, and Inspection Stages to drive projects through scheduling and completion
  • Break complex projects into manageable actions, establish timeframes, and prioritize tasks effectively.
  • Proactively identify potential risks and develop contingency plans. Elevate risk management strategies to safeguard project outcomes.
Required Qualifications
  • 5+ years (or a bachelor’s degree 3+ years) of work experience including a proven track record as a Scheduling Specialist, Project Manager, or in a similar role, including managing complex projects from inception to completion, ideally in the retrofit residential PV + ESS renewable energy sector
  • 3+ years of experience demonstrating excellent customer experience enhancing skills, capable of guiding peers and influencing senior-level management and stakeholders to drive positive business outcomes and unparalleled customer experience.
  • Exceptional prioritization and time-management abilities, focusing on delivering high-quality positive impact.
  • Strong capabilities in client-facing situations and teamwork; adept at negotiating, navigating ambiguity, resolving conflicts, and solving ambiguous challenges.
  • Hands-on experience with advanced project management tools (e.g., enterprise-level CRMs) and quality assurance and risk management familiarity.
