Overview

The Scheduling Coordinator II will schedule new and follow-up patient appointments. The incumbent will perform a variety of administrative and clinical operations activities, including greeting and checking in/out patients and families, collecting patient information, estimating deposit requirements, providing cost estimates, determining patient liability, establishing payment arrangements, and coordinating payment information for outpatient and day programs with non-par payer sources. This role requires interaction with patients, families, clinicians, and staff in a courteous and professional manner. Bilingual proficiency in English and Spanish is essential, meeting the Institute's minimum standards.

Responsibilities
  • Accurately schedule new and follow-up patient appointments, ensuring they are linked to the appropriate referral in EPIC and confirmed prior to the appointment date.
  • Answer phones promptly, direct calls appropriately, take and deliver messages, return calls, and follow up as needed.
  • Monitor new and follow-up treatment appointments, cancellations, and no-shows regularly.
  • Work with providers, families, and staff to reschedule appointments based on patient needs and department policies, and modify schedules as necessary.
  • Maintain contact regarding insurance clearances, coverage issues, and follow-up activities.
  • Respond timely to inquiries from patients, families, providers, and staff.
  • Reassign or reschedule patient appointments based on clinician leave requests, collaborating with supervisors to resolve concerns.
  • Monitor and maintain Epic Work Queues and related reports.
  • Provide financial counseling and seek supervisor support for patient issues.
  • Facilitate insurance authorizations by working with the Patient Access department.
  • Collect and process quality improvement and patient tracking data.
  • Assist in training and supporting Care Center staff.
Qualifications
  • Bilingual in English and Spanish with proficiency meeting the Institute's standards; able to communicate fluently and accurately on various topics.
  • Successful completion and maintenance of certification and fluency with computer systems like EPIC.
Education
  • High School Diploma or GED required.
  • Associate or higher degree in human services, healthcare administration, or related field preferred.
Experience

3-5 years of related experience in patient registration, scheduling, or coordinating patient services required.

Pay Range

Minimum: USD $38,906.40/year
Maximum: USD $63,990.78/year
