Job summary

The Chattanooga Heart Institute, part of CommonSpirit Health, is seeking a Scheduler to orchestrate a seamless care process by coordinating appointments and managing schedules for patients and providers.

You will verify insurance, collect copays, schedule imaging and labs, and enter orders into the EHR, while delivering exceptional customer service in‑person and by phone.

Qualifications

• High School graduate with 1–3 years of experience in a medical office environment preferred.
• Experience in scheduling patients, coordinating multiple provider calendars, and handling patient inquiries preferred.
• Familiarity with HIPAA and insurance verification is advantageous.

Responsibilities

• Check patients in at appointment time, verify insurance, collect copays, update demographics, and prepare fee tickets for staff.
• Check patients out, schedule follow-ups, collect balances, and coordinate imaging or labs as needed.
• Enter imaging and lab orders into the EHR system and ensure accuracy.
• Provide cross-coverage across scheduling areas and locations as needed.
• Generate weekly recall reports and contact patients to schedule appointments and send reminders.
• Process scheduling tasks in the practice management system.

Job Summary and Responsibilities

As our Scheduler, you will orchestrate a seamless and efficient care process for patients and providers by coordinating appointments and managing schedules.

Every day you will schedule patient appointments and coordinate multiple provider schedules for medical procedures, tests, and studies. You'll ensure timely scheduling through effective communication, accurately gather and verify patient insurance and documentation, process reports, and provide exceptional customer service to patients via phone and in‑clinic assistance.

To be successful in this role, you will demonstrate strong attention to detail, multitasking abilities, and excellent communication and reasoning skills to manage scheduling complexities and patient inquiries, always striving for accuracy and efficiency.

1. Check patients in at time of appointment, this includes but is not limited to verifying insurance, collection of copays, updating demographics, downloading medication list from ePrescribe, MSSP forms completions, scanning insurance card and verifying insurance, completion of HIPAA forms and creating a fee ticket for the clinical staff.
2. Check patients out – this includes but is not limited to making a return appointment, collecting account balance, copays, co‑insurance, creating recall, schedule appropriate imaging, labs, radiology, pulmonary tests with the appropriate hospital location and coordinate with upcoming appointment with physicians, creating patient portal tokens and explaining patient portal instructions, and directing the patient to the correct location to schedule imaging or hospital procedures.
3. Scheduling and entering imaging and lab orders into EHR.
4. Cross cover in all areas of scheduling and at all locations.
5. Weekly recall report – Call the patients, schedule appointments with physician or for imaging and lab and send reminder card per guidelines.
6. Receive and complete scheduling tasks within the practice management system.

Pay Range

$16.83 - $23.77 /hour
