Job summary

Qualifications

  • AA/AS degree preferred.
  • 1–2 years scheduling or staffing experience, preferably in a Critical Access or Acute Care Hospital facility.
  • IAM certification required within 30 days of hire.

Job Description Summary

The Scheduling Associate I is responsible for the daily coordination of the hospital’s staffing and may provide service to various Departments/Units on a shift‑by‑shift basis. The role requires immediate delivery of services for urgent scheduling needs that may arise for all Departments/Units and ensures the staffing of the hospital 24/7.

Responsibilities
  • Maintain daily review, updating, and data entry of all Registry and Traveler personnel time cards using the WFX System to ensure up‑to‑date financial/payroll reporting.
  • Co‑operate closely with all Management Teams (Directors, Managers, Supervisors, and Administrative Nursing Supervisors) and the Scheduling Associate II on all staffing/scheduling tasks to ensure clinical and support personnel are available for safe patient care coverage.
  • Deliver services to various Departments/Units on a shift‑by‑shift basis, responding to urgent scheduling needs whenever they arise.
Education
  • High School Diploma or equivalent required.
  • AA/AS (2‑year) degree preferred.
Experience
  • One to two years of recent scheduling, staffing, or general office experience strongly desired, preferably in a Critical Access or Acute Care Hospital facility.
Licensure & Certifications
  • Integrative Agitation Management (IAM) – required within 30 days of hire.
Prerequisite Skills
  • Excellent oral and written communication skills and ability to follow English instructions.
  • Strong interpersonal communication skills and tactfulness when dealing with various levels of personnel and external organizations.
  • Ability to organize, prioritize tasks, and manage daily work assignments.
  • Typing speed of at least 35 words per minute.
  • Proficiency or ability to learn various computer programs (AWM, ANSOS, Daily Census Report Data Base, Work Force Exchange, Windows 7, Microsoft Office Suite – Excel, Word, Outlook).
  • Strong logical, analytical, and critical‑thinking skills.
  • Customer‑relations and interpersonal skills.
  • Judgement in handling confidential information in accordance with State, Federal, and Hospital policies related to HIPAA and PHI data.

Compensation

The posted pay range complies with applicable law and reflects expected payment for this role. Individual pay is set by skills, experience, qualifications, and internal/market equity and is consistent with MarinHealth’s compensation philosophy. Positions governed by collective bargaining agreements are subject to those agreements.
