WVU Medicine is seeking a Registration Clerk for PVH Fort Ashby, WV. The role involves collecting patient demographics and insurance details, entering data into registration and billing systems, and ensuring accuracy for payments and scheduling.

Qualifications

Responsibilities

  • Obtain demographic, billing, and insurance information and enter into registration and billing systems.
  • Assist with pre-certifications and authorizations as needed.
  • Prepare consent forms and obtain signatures and electronic consent for treatment and financial obligations.
  • Collect deposits, co-payments, and patient liability payments and document in systems.
  • Prepare patient armbands and balance daily receipts as needed.
  • Coordinate screenings and gather information for coverage; complete appropriate paperwork.
  • Check medical necessity and complete notices as required.
  • Schedule, reschedule, or cancel patients per hospital workflows.
  • Escort patients to exam rooms and assist with physician visits and vitals.
  • Assist with immunizations, medication refills, and ECGs.

MINIMUM QUALIFICATIONS

EDUCATION, CERTIFICATION, AND/OR LICENSURE:

  • High school diploma or equivalent.
  • State criminal background check and Federal (if applicable), as required for regulated areas.
PREFERRED QUALIFICATIONS

EDUCATION, CERTIFICATION, AND/OR LICENSURE:

  • National Certification as CMA.
CORE DUTIES AND RESPONSIBILITIES
  • Obtains demographic/billing/insurance information from patient/family/legal guardian and enters into the registration/billing systems for service and claim processing and scans insurance cards & photo identification. Provides to the patient, information concerning insurance, payment of bills and hospital procedures.
  • May complete managed care responsibilities in regard to obtaining pre-certification and authorizations.
  • Prepares WVU Medicine standard consent form, notice of privacy practice and/or other necessary paperwork related to registration and presents to patient/family/legal guardian for signatures. Obtains electronic signature for consent to treat and patient financial obligations.
  • Collects deposits/co-payments/deductibles/patient liability payments when applicable, provides patient receipt and documents payment in the registration/billing systems.
  • Prepares armband for patient identification.
  • Balances daily receipts and cash drawer for patient payments as needed. Follows up on accounts as indicated by system flags (courtesy dismissal/comments/red stickers).
  • May initiate various screenings and obtains all pertinent information for coverage and completes appropriate paperwork.
  • Performs medical necessity checks and completes Advanced Beneficiary Notice as needed.
  • Schedules, reschedules, or cancels patients in accordance with hospital workflows.
  • Checks for order completeness and validate order against scheduled service.
  • Greets and escorts patients to exam rooms; prepares for physician visit by obtaining initial information and vitals.
  • Assists with and/or performs immunizations, medicine refills, and ECG’s.
PHYSICAL REQUIREMENTS
  • Frequent walking, standing, stooping, kneeling, reaching, pushing, pulling, lifting, and grasping.
  • Visual acuity must be within normal range.
  • Manual dexterity to operate keyboards, fax machines, telephones, and other business equipment.
  • Sittting and/or standing for extended periods of time.
  • Reading and comprehension ability.
WORKING ENVIRONMENT
  • High volume, fast paced environment.
  • Exposure to communicable disease.
  • Frequent interactions with patients, medical staff, and support staff daily on a continual basis. Work is performed in a standard outpatient clinical environment. Volume of patients very high.
  • Required considerable attention to detail, the ability to be organized and to be able to perform multiple tasks simultaneously.
  • Requires the ability to understand medical insurance requirements for payment and basic knowledge of covered services.
  • Must be able to provide information on demand, at times taking request from several sources.
  • Must be able to work with a variety of personality types and interact with individuals with various levels of education, capabilities, and communication skills.
  • Very fast paced and demanding office setting.
SKILLS AND ABILITIES
  • Ability to accurately utilize applicable computer software and equipment for access processing & demonstrates ability to follow down time procedures.
  • Demonstrate knowledge of procedure to report and/or document unsafe/hazardous conditions, incidents and defective equipment in compliance with hospital policy.
  • Requires considerable attention to detail, the ability to be organized and to be able to perform multiple tasks simultaneously.
  • Requires the ability to memorize a considerable amount of information, and to be able to reference information not retained from written sources or from appropriate personnel.
  • Requires the ability to understand medical insurance requirements for payment and basic knowledge of covered services.
  • Excellent written and verbal communication skills and the ability to understand written and verbal communication.
  • Basic knowledge of medical terminology.
