Position Summary

This position is responsible for scheduling patient appointments and tests in an efficient and timely manner. Answer incoming calls and direct them to appropriate personnel as needed. Serve as a liaison between patients and medical staff. May be designated as the lead employee, orient, train and assign the work of other employees as requested by supervisor. Support and adhere to the Cancer Care Northwest Compliance Program, including the Code of Ethics and Business Standards.

Responsibilities
  • Answer all incoming calls; assess callers’ needs and direct them to appropriate personnel. Page clinic personnel as appropriate. Obtain and communicate messages accurately and in a timely manner.
  • Schedule outpatient appointments, referrals, testing, hospital surgeries and hospital admissions upon request. Obtain necessary pre‑certification as required.
  • Schedule return appointments in the computer system in accordance with physician and/or office guidelines. Cancel/reschedule appointments according to physician schedule changes and in accordance with office guidelines; notify appropriate clinic personnel.
  • Notify appropriate personnel when authorizations are needed for services scheduled.
  • Handle new patient referrals, gather necessary information, register new patients in the computer system and schedule appointments.
  • Collect co‑pays, deductibles and other out‑of‑pocket amounts at time of visit as needed.
  • Maintain primary office scheduling book containing all physician meetings, satellite schedule, vacations and on‑call coverage.
  • Handle incoming phone calls from patients needing to schedule or reschedule appointments in accordance with office guidelines.
  • Provide patients with accurate and legible appointment cards. Document no‑shows in patients’ charts for missed visits. Follow up with patients to reschedule any missed appointments.
  • Arrange for patients to have financial counseling as needed.
  • Demonstrate an understanding of patient confidentiality to protect the patient and clinic/corporation.
  • Follow policies and procedures to contribute to the efficiency of the front office. Cover for other office functions as requested.
  • Handle correspondence, memos, forms and emails as requested by supervisor.
  • May provide guidance and daily work direction to other employees as requested by supervisor.
  • Perform all other duties/responsibilities as necessary or assigned.
Qualifications
  • High School diploma or equivalent required. Some college preferred.
  • High School Diploma or a General Education Degree.
  • Three (3) years of medical business office experience with insurance procedures and patient interaction.
