National Partners In Healthcare is seeking a Scheduler to support an anesthesia office. You will answer phones, schedule appointments, and perform administrative duties with strict confidentiality under HIPAA.

The role includes calendar coordination, data entry, report generation, and interfacing with clinicians and hospital staff. Prior scheduling experience and proficiency with MS Office are valued.

Qualifications

  • High School Diploma or GED is required.
  • 1–2 years of experience in a business office, hospital or physician practice setting.
  • 1 year of anesthesia scheduling experience preferred.
  • QGenda experience preferred.
  • EMR Systems experience preferred.

Responsibilities

  • Answer, screen, and direct calls on a multi-line phone system in a courteous and professional manner.
  • Schedule cases with surgeon offices and facilities in a multi-provider office.
  • Enter schedules into database and distribute to staff, clinicians and hospital personnel.
  • Create and maintain daily/monthly call, meeting and vacation schedules.
  • Ensure HIPAA compliance and protect patient confidentiality.

Job Details: Job Location: Work from Home - Richardson, TX 75082, POSITION SUMMARY:

The Scheduler is responsible for answering phones, scheduling appointments and perform administrative duties in an anesthesia office. Will be expected to perform quality assurance, recruiting or office administrative duties depending on region.

Essential Duties and Responsibilities:
  • Responsible for answering, screening, and directing calls on a multi-line phone system in a courteous and professional manner.
  • Responsible for retrieving messages throughout the day and forwarding messages to appropriate staff.
  • Schedules cases with surgeon offices and or facilities in a multi-provider office.
  • Performs clerical duties for physician office and corporate office when need.
  • Follows all HIPAA standards, policies and procedures and maintain patient confidentiality in accordance to policy and procedure and HIPAA requirements
  • Punctual and regular attendance is an essential responsibility at NPH
  • Provide a high level of customer service
  • Coordinates next day’s schedule with physicians
  • Create and maintains daily/monthly call, meeting and vacation schedules and distribute accordingly.
  • Enter schedules into database and distribute (fax, email, and mail) to appropriate staff, clinician and/or appropriate hospital personnel.
  • Fill all open shifts and emergency openings as they arise.
  • Negotiate with clinicians.
  • Upload and update website with scheduling information daily
  • Run and/or create various reports for management.
  • Educate new clinicians on scheduling protocols and guidelines
  • Interfaces with site scheduling administrators to ensure coverage needs are met
  • Reconcile clinician hours and submits reports to payroll department and provide analysis as needed
  • After hour's on-call duty may be required
  • Adhere to all company policies and procedures.
  • Adherence to and compliance with information systems security is everyone’s responsibility.
  • It is the responsibility of every computer user to: Know and follow Information Systems security policies and procedures. Attend Information Systems security training, when offered. Report information systems security problems.

Minimum Qualifications:
  • Education/Licensing/Certification:
  • High School Diploma or High School Equivalency
  • 1 to 2 years of experience in business office, hospital or physician practice setting
  • 1 year of customer service experience
  • 1 year of anesthesia scheduling experience preferred
  • QGenda experience preferred
  • EMR Systems experience preferred
Knowledge and Skills:
  • Demonstrated ability to be courteous and respectful when interacting with patients and family members
  • Ability to effectively present information and respond to questions from groups of managers, patients, and the general public
  • Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals
  • Ability to define problems, collect data, establish facts, and draw valid conclusions
  • Must have a high level of energy with the ability to adjust to any justifiable pace.
  • Make decisions based more on fact than feeling
  • Exhibit behavior which emphasizes compassion, quality, loyalty and conscientiousness
  • Proven ability to develop strong relationships with professionals, clinicians and hospital staff through phone or other informal channels.
  • Strong computer skills including MS Office, Access and Windows applications.
