Overview

The Cancer Center of Kansas (CCK) is seeking a full‑time, on‑site Scheduler to join our team in our Parsons, KS offices. The typical work week is Monday through Thursday, 8:00 AM – 4:30 PM and Friday 8:00 AM – NOON with no major holidays, no on‑call and no weekends.

What does this position entail?

Under general supervision, this role is responsible for scheduling and managing patient orders and appointments efficiently and timely. The Scheduler answers all incoming calls, messages and patient‑facing questions or scheduling needs during clinic hours. This position requires high customer service skills and the ability to prioritize tasks effectively. It serves as the primary point of contact and liaison between patients and medical staff and supports US Oncology compliance standards.

Responsibilities
  • Answer all incoming calls and messages, assess priority, and respond accordingly.
  • Obtain and communicate messages accurately and promptly.
  • Efficiently schedule patients in the computer system per provider and office guidelines.
  • Ensure patient accounts are up to date with accurate demographics and records.
  • Cancel or reschedule appointments based on physician schedule changes or patient notices; notify relevant personnel.
  • Maintain the assigned provider or resource order queue, scheduling orders entered by medical staff with precision.
  • Communicate physician schedule changes to appropriate coworkers.
  • Demonstrate patient confidentiality and protect records.
  • Follow policies and procedures of all relevant departments and workflows.
  • Cover other front‑office functions as requested.
  • Prepare correspondence, memos, forms, and other documents per supervisor or staff request.
  • Coordinate internally to gather required pre‑certifications or authorizations.
  • Communicate with patients regarding scheduled items, prep work, and gather necessary information.
  • Coordinate external appointments with hospitals, clinics, and organizations for established patients.
  • Complete paperwork associated with referrals sent by medical staff.
  • Possess basic medical terminology understanding, including coding.
  • Maintain patient accounts in the EMR and PMS systems.
  • Collaborate with healthcare providers to optimize appointment availability and patient flow.
  • Stay current on compliance requirements and HIPAA laws and guidelines.
  • Attend required meetings.
  • Ensure adherence to all company and network policies and procedures.
  • Perform other duties as requested or assigned, including coverage within the department.
  • Perform additional tasks reasonably requested by a provider or management team within the role.
Supervisory Responsibilities

Qualifications
Basic Work Requirements
  • Ability to work in a fast‑paced environment for long periods while seated and using a computer monitor.
  • Familiarity with Microsoft Office applications.
  • Ability to enter data into various electronic systems accurately.
  • Typing speed of at least 40 wpm preferred.
  • Ability to operate a multiline phone system with proper etiquette.
  • Knowledge of medical terminology and ICD‑10 coding preferred.
  • Strong customer service skills and professionalism.
Education/Training
  • High school diploma or equivalent required.
  • Minimum three years of office experience, preferably in a medical office setting.
Experience
  • Excellent written and verbal communication skills.
  • Proficiency in Microsoft Office (Outlook, Word, Excel) required.
  • Experience in EMR and/or PMS systems a plus.

Physical Demands

Requires long periods of sitting, stooping, bending, stretching for files and supplies, occasional lifting of up to 30 pounds, manual dexterity for keyboard, calculator, telephone, copier, and office equipment. Vision correctable to 20/20 and hearing in the normal range for telephone contacts required.

Work Environment

The work is performed in an office environment with exposure to communicable diseases, toxic substances, and medical preparations common to an oncology/hematology clinic. Frequent interaction with staff, patients, visitors, and physicians is required.
