$53,370.00/yr - $61,376.00/yr

Division/Program Summary:

The Early Intervention Program (EIP) is a comprehensive interagency program that supports infants and children with developmental delays in their efforts to realize their full potential. It reduces the likelihood of delays among at-risk children, assists and empowers families to meet their child's and their own needs, and entitles children, regardless of race, ethnicity or income to services through the program. The EIP is legally mandated under Title II-A, 2552, of Article 25 of the NYS PHL to ensure that eligible children receive therapeutic services as soon as possible, and it has been recognized as an essential service during COVID-19 by NYS. The process of getting children to services includes processing referrals to the EIP, scheduling evaluations and Individualized Family Service Plan (IFSP) meetings, convening IFSP meetings, and authorizing services. Children continue to receive IFSP meetings every six (6) months for as long as they are in the Program.

The Bureau of Early Intervention oversees provision of therapeutic services to 30,000 children ages birth to 3 years each year. At the borough level, contracted service agencies are monitored by the Regional Office.

Position Summary:

Reporting to the Assistant Director, the Principal Administrative Associate will schedule Individualized Family Service Plan (IFSP) meetings, manage calendars and perform administrative tasks to support scheduling and meetings.

Job Duties and Responsibilities:
  • Schedule IFSP meetings within the NY State mandated timeline, using Microsoft Outlook.
  • Manage daily calendaring and scheduling activities for Early Intervention Official Designees.
  • Perform administrative tasks for assigned cases in a web-based application and review submitted multidisciplinary evaluations for children to ensure completeness and accurate eligibility scores.
  • Be responsive to all internal and external stakeholders by communicating effectively and utilizing excellent customer service skills via telephone, email, or in person.
  • Provide clerical support in the Regional Office.

Minimum Qualifications:
  • A baccalaureate degree from an accredited college and three years of full-time clerical/administrative experience, including one year in an administrative capacity or supervising staff performing clerical/administrative work of more than moderate difficulty.
  • An associate degree or 60 semester credits and four years of similar experience, including one year of supervisory experience.
  • A high school diploma or equivalent and five years of similar experience, including supervisory experience.
  • Equivalent education and experience, with the requisite supervisory experience, may be considered. Education above high school may substitute experience at a rate of 30 semester credits for 6 months of experience, up to 3.5 years.
Preferred Skills:
  • Proficiency with Excel and Microsoft Outlook.
  • Strong computer, organizational, and customer service skills.
  • Ability to prioritize tasks, manage deadlines, and work in a team environment.
  • Highly detail-oriented with excellent verbal and written communication skills.
