Job summary

Innovative Ag Services in Iowa is seeking a Location Operations Clerk to serve as the primary contact for customers, producers, truck drivers, and team members, delivering courteous service and accurate scale processing.

You will handle documentation, billing, and records, operate the scale system, review tickets, and support inventory while coordinating with location staff; a high school diploma and reliable teamwork are required.

Qualifications

  • High school diploma or equivalent required; post‑secondary coursework in agriculture, accounting, business, office administration, or a related field preferred.
  • Previous customer service, administrative, accounting, scale, grain, or agricultural office experience preferred.
  • Ability to provide excellent customer service while maintaining accuracy, confidentiality, and professionalism.
  • Strong attention to detail with the ability to enter, review, and reconcile data accurately in a fast‑paced environment.
  • Ability to learn and use scale, grain accounting, customer relationship, billing, inventory, and Microsoft Office systems.
  • Effective written and verbal communication skills, including the ability to answer phones, explain basic information, and work with customers and team members.
  • Ability to organize work, prioritize tasks, manage deadlines, and adjust to seasonal workload changes.
  • Basic math skills and ability to understand weights, measures, tickets, invoices, receipts, and account information.

Responsibilities

  • Greet customers, producers, vendors, and truck drivers in a professional, friendly, and helpful manner.
  • Answer incoming phone calls, respond to routine questions, provide location hours and grain bid information, and route inquiries to the appropriate team member when needed.
  • Operate the scale system accurately for inbound and outbound grain, agronomy, feed, energy, or other location products as applicable.
  • Identify the correct customer, commodity, delivery information, hauler, weights, grades, and account details before issuing scale tickets.
  • Enter and review scale tickets, grain tickets, work orders, settlements, contracts, invoices, and other location transactions for accuracy and completeness.
  • Process daily grain ticket edits, settlements, direct ship transactions, and related documentation as assigned.
  • Support grain contract administration, including preparing documents, obtaining signatures, scanning, filing, and assisting customers with basic contract questions.
  • Provide general customer service support by assisting with account questions, balances, tickets, statements, billing, and basic product or service inquiries.

Job description

Primary Objective

To serve as a primary point of contact for customers, producers, truck drivers, and internal team members by providing courteous customer service, accurate scale operations, timely documentation, and reliable administrative support for location operations.

Areas of Accountability

The following duties are typical for this job and are not intended to be exclusive or all-inclusive. Depending on location, season, and business needs, some activities may vary.

  • Report to the assigned workplace at the scheduled time and notify the supervisor of absences or late arrivals prior to the start of the shift.
  • Greet customers, producers, vendors, and truck drivers in a professional, friendly, and helpful manner.
  • Answer incoming phone calls, respond to routine questions, provide location hours and grain bid information, and route inquiries to the appropriate team member when needed.
  • Operate the scale system accurately for inbound and outbound grain, agronomy, feed, energy, or other location products as applicable.
  • Identify the correct customer, commodity, delivery information, hauler, weights, grades, and account details before issuing scale tickets.
  • Probe, sample, and grade grain in accordance with location procedures, including moisture, test weight, foreign material, damage, or other quality factors as required.
  • Direct truck traffic safely and efficiently to the proper unloading, loading, or staging area while maintaining a positive customer experience.
  • Enter and review scale tickets, grain tickets, work orders, settlements, contracts, invoices, and other location transactions for accuracy and completeness.
  • Process daily grain ticket edits, settlements, direct ship transactions, and related documentation as assigned.
  • Support grain contract administration, including preparing documents, obtaining signatures, scanning, filing, and assisting customers with basic contract questions.
  • Provide general customer service support by assisting with account questions, balances, tickets, statements, billing, and basic product or service inquiries.
  • Maintain accurate electronic and paper records, including filing, mailing, scanning, contract tracking, and retention of required documentation.
  • Assist with inventory-related processes, including bills of lading, receipts, product movement documentation, physical counts, and coordination with location personnel.
  • Complete billing, receipting, deposits, and other administrative functions in accordance with company procedures and internal controls.
  • Maintain the scale house, office, and customer-facing areas in a clean, organized, and professional condition.
  • Communicate customer concerns, product issues, safety concerns, or operational needs promptly to the supervisor or appropriate department.
  • Follow all company safety policies and procedures, including proper use of personal protective equipment and safe practices around truck traffic, grain handling, and location equipment.
  • Support seasonal business needs, including extended hours, weekend hours, harvest activity, and assisting other IAS locations when requested.
  • Provide backup support to location staff and assist with training seasonal or new employees performing similar duties.
  • Accept and carry out other duties as assigned by the Location Manager or designee.

Physical Requirements / Environmental Adaptability
  • Requires the ability to sit, stand, walk, bend, reach, twist, and move throughout the office, scale area, and facility as needed.
  • Requires the ability to use a computer, phone, printer, scanner, scale system, grain testing equipment, and other standard office or location equipment.
  • Requires close attention to detail and repetitive data entry, ticket processing, phone communication, and customer interaction.
  • May require lifting, carrying, pushing, or pulling objects up to 50 pounds occasionally.
  • Work may occur in an agricultural environment with exposure to seasonal weather, dust, grain, noise, moving vehicles, and outdoor conditions.
  • May be required to wear personal protective equipment and follow site‑specific safety requirements.
  • Extended hours, weekend hours, overtime, or seasonal schedule changes may be required based on business needs, including harvest.
