Job summary

RMS International in North Andover, MA is seeking a detail-oriented Sample & Inventory Coordinator to support daily sample operations, inventory organization, and showroom readiness across the company.

You will manage movement, labeling, storage, and tracking of product samples, collaborating with Sales, Procurement, Creative, and Visual Operations to ensure availability for buyer meetings, trade shows, and internal initiatives.

Qualifications

  • High school diploma or equivalent required.
  • Associate's or Bachelor's degree in Business, Operations, Supply Chain, Logistics or related field preferred.
  • 1–2 years of experience in inventory, warehouse operations, logistics, or related field preferred.

Responsibilities

  • Receive, inspect, and process inbound sample shipments.
  • Own the day-to-day operation and organization of the Sample Drop Room.
  • Organize, label, and store incoming samples with inventory accuracy.
  • Maintain inventory locations through tracking systems and scanners.
  • Assist with inventory audits, cycle counts, and accuracy projects.

Role Overview

The Sample & Inventory Coordinator is responsible for supporting the day-to-day execution of sample operations, inventory organization, and showroom readiness across the company. This role manages the movement, organization, and tracking of product samples while ensuring inventory accuracy and maintaining efficient product flow. Working cross-functionally with Sales, Procurement, Creative, and Visual Operations, the coordinator helps ensure samples are available, organized, and ready to support buyer meetings, trade shows, customer requests, and internal initiatives. The ideal candidate is highly organized, detail-oriented, proactive, and thrives in a fast-paced, collaborative environment.

  • Receive, inspect, and process inbound sample shipments
  • Own the day-to-day operation and organization of the Sample Drop Room
  • Organize, label, and store incoming samples while maintaining inventory accuracy
  • Maintain accurate sample locations through inventory scanning and tracking systems
  • Review, update, and maintain the Sample Shipment Tracker
  • Pull, prepare, and deliver samples for internal departments, customer meetings, and special requests
  • Pack and coordinate outbound sample shipments for customers, sales meetings, internal teams, and storage
  • Assist with shipping preparation and outbound logistics as needed
  • Maintain clean, organized, and efficient receiving and inventory storage areas
  • Support inventory organization, product relocations, and space optimization initiatives
  • Assist with inventory audits, cycle counts, and inventory accuracy projects
  • Ensure samples and inventory remain showroom-ready and easily accessible
  • Assist with showroom preparation, product placement, and trade show setup as needed
  • Collaborate cross-functionally with Sales, Procurement, Creative, and Visual Operations to support daily business needs
  • Communicate proactively regarding sample availability, inventory status, and shipment updates
  • Demonstrate professionalism, accountability, adaptability, and attention to detail in all daily responsibilities
  • Contribute to continuous improvement of inventory organization, sample processes, and operational efficiency
Qualifications
  • High school diploma or equivalent required
  • Associate's or Bachelor's degree in Business, Operations, Supply Chain, Logistics, or a related field preferred
  • 1–2 years of experience in inventory, warehouse operations, logistics, retail operations, merchandising, or a related field preferred
Required Skills & Capabilities
Physical Requirements
  • Ability to frequently lift, carry, push, and pull products weighing up to 50 pounds
  • Ability to stand and walk for extended periods throughout the workday
  • Ability to frequently bend, squat, kneel, reach, and climb ladders while organizing inventory and showroom displays
  • Ability to safely move, unpack, pack, and transport products, shelving, and display materials
  • Ability to safely lift, move, and organize product throughout warehouse and showroom environments
  • Ability to operate pallet jacks, carts, hand trucks, and other material-handling equipment (or willingness to learn)
Inventory & Sample Management
  • Strong organizational skills with the ability to maintain accurate inventory systems
  • Ability to manage multiple sample requests and priorities simultaneously
  • Experience maintaining inventory accuracy and product organization
  • Understanding of inventory control practices and product flow
  • Ability to safely lift, move, and organize product throughout warehouse and showroom environments
Operations & Logistics
  • Experience receiving, processing, and organizing inbound shipments
  • Ability to coordinate outbound shipments and shipping documentation
  • Comfortable working within inventory tracking systems, scanners, and spreadsheets
  • Strong attention to detail when handling product movement and inventory records
  • Ability to identify inefficiencies and recommend process improvements
  • Ability to work effectively across multiple departments
  • Strong verbal and written communication skills
