Position Summary

The Sales Support Specialist is a fully remote position supporting outsourced sales operations for contract furniture dealers. This role is designed for an experienced professional who can immediately contribute with minimal training outside of client-specific onboarding. The ideal candidate has a strong background in project coordination, order management, and client support within the contract furniture industry and is confident working independently in a fast-paced, remote environment.

This individual will also be responsible for training and supporting remote team members and ensuring the accuracy and quality of all work delivered.

Key Responsibilities

Client & Project Coordination

  • Manage quotes, proposals, and budgets using systems such as CAP SIF, Spec, Core, Khameleon, or similar industry tools.
  • Review and process purchase orders and vendor acknowledgments.
  • Coordinate with vendors and clients remotely to ensure smooth project timelines and delivery.
  • Prepare client-facing documentation, including installation packages, floor plans, and product specifications.
  • Track order statuses, punch lists, and ensure timely completion of all project phases.
  • Enter and code quotes and orders accurately, applying client pricing structures and discount programs.
  • Generate deposit invoices and ensure correct documentation is received from vendors and clients.
  • Maintain organized, digital documentation across shared drives and internal platforms.
  • Support project closeout, including invoicing, warranty coordination, and day-two service needs.
  • Manage installation coordination and remote follow-up post-installation.

Training & Knowledge Transfer

  • Train and mentor outsourced, remote team members on client-specific workflows and general task execution.
  • Act as a go-to resource for task-level questions and troubleshooting.
  • Contribute to or develop SOPs, training documentation, and onboarding materials for use across clients.

Quality Assurance & Continuous Improvement

  • Perform QA on task execution and deliverables from remote support staff.
  • Identify and resolve workflow issues, and recommend improvements to ensure operational excellence.
  • Maintain consistency in standards and processes across various client accounts.

Client Communication & Relationship Management

  • Act as a direct point of contact for assigned clients; provide responsive, solution-oriented support.
  • Attend virtual project meetings and communicate updates proactively to clients and internal stakeholders.
  • Build and maintain strong client relationships while ensuring expectations are met or exceeded.

Qualifications & Requirements

  • 5+ years of experience in sales coordination, project support, or order management—must be within the contract furniture industry.
  • Proven ability to work independently and deliver results with minimal training.
  • Experience supporting or managing remote teams preferred.
  • Deep familiarity with industry software such as Spec, 2020 Worksheet, Core, Khalemeon, Hedberg, or equivalents.
  • High level of comfort with digital tools (Microsoft Office Suite, SharePoint, Teams, etc.) and remote collaboration platforms.
  • Strong communication skills with the ability to convey instructions, provide feedback, and manage expectations effectively.
