Job summary

American Refining Group, Inc. is seeking a Sales Support Assistant to back the sales team with CRM, AS400 data entry, and account setup. The role includes coordinating on-site visits, preparing agendas, processing credits and rebills, and distributing market reports to internal groups.

The ideal candidate will have 1-3 years of experience, a high school diploma or GED (2-year college preferred), and strong PC/Microsoft Office/CRM proficiency to support pricing and customer communications.

  • Proficiency with PC, Microsoft Office Suite and CRM software is expected.

Responsibilities

  • Arrange on-site customer visits, meals, refinery tours, venues, and agendas.
  • Submit credits and rebills for the sales team; process QDRs and Product Return Forms.
  • Support sales team with CRM, enter PCNs in AS400, and assist in setting up new customers.

Job description

Scope & Responsibilities of Sales Support Assistant (Not limited to)
  • Assists with arranging on-site customer visits, which would include on- and off-site meals, refinery tours, reserving meeting locations, preparing agendas, meeting room preparations, etc.
  • Submits credits and rebills on behalf of sales team as required
  • Submits Quality Deviation Reports (QDR’s) and Product Return Forms as required
  • Utilizes the Customer Relationship Management (CRM) software as necessary to support sales team
  • Uses the AS400 system to enter all PCN’s submitted through the CRM
  • Assists the sales team with setting up new customers by providing necessary paperwork and ensuring that all information is accurate and complete
  • Distributes industry related reports to internal contact groups as required
  • Assists the sales team with shipping promotional giveaways, holiday gifts/cards, labels, and other miscellaneous items.
  • Works with various members of the organization in a professional manner to thoroughly complete supportive tasks requested by the sales team
  • Provides assistance to and communicates with customers as necessary, acts as a liaison between customer and sales representative
  • Processes sample requests through AS400; prepares and provides shipping paperwork to Quality Lab for shipping
  • Organizes sales meeting annually including destination sales meeting when applicable
  • Executes sales control as requested by business/product director/manager
  • Manages inventory availability and tracks drilling volumes daily for every drilling account
  • Manages third party facilities for drilling products which includes tracking orders coming in and out of each facility, advising customer service when to ship product moves based on inventory, balance spreadsheets and address discrepancies
  • Manages third party facility for drums of XP-4104 which includes tracking orders coming in and out, facilitate component and bulk shipment delivery as needed
  • Maintains multiple spreadsheets and databases with market data
  • Works directly with Fuel customers to obtain necessary information needed to set up a new account in its entirety
  • Manages and implements daily pricing changes for Fuels; includes communicating new pricing to fuel customers, submitting all PCN’s, and updating the AS400 with new rack and special agreement pricing
  • Files contract agreements as they are provided by upper management and/or sales department
  • Acts as a backup to Blended Lubricant Sales Support as needed
  • Acts as a backup to Fuels Product Manager which includes sending special fuel pricing emails and text messages to customers, and uploading pricing into customer specific pricing portals as needed
  • Acts as a backup to Marketing Manager regarding mass price changes and index pricing as needed
  • Other supportive duties for the sales team as requested

Education & Experience for Sales Support Assistant
  • 1-3 years of Experience
  • Highschool Diploma or GED required
  • 2 year college is preferred

  • Comprehensive knowledge of PC, Microsoft Office Suite, Customer Relationship Management (CRM) Software.
