Job summary

Dobbs Equipment, LLC, based in Riverview, FL, is seeking an administrative professional to support the Sales Department with invoicing, cost analysis, and billing tasks. You will collaborate with branch personnel to expedite information throughout the sales process.

Qualifications

  • Invoicing experience in a high-volume environment.
  • Billing experience with accuracy and timeliness.
  • Accounting experience to support general ledger activities.
  • Customer service experience when interacting with branch personnel.

Responsibilities

  • Correctly settle, cost and invoice deals for assigned branches.
  • Review deals for completeness and work with branch sales personnel on missing items.
  • Review equipment costs and sale price for accuracy in all sales documents.
  • Purchase Equipment extended warranty.
  • Create Rental Payoff for RPO conversions.
  • Posting of accruals for cost of goods sold prior to invoicing (costing).
  • Input PM/TM&R data into PowerBi report (TM&R Tool).
  • Provide month-end volumes and general support during absences.
  • Review John Deere Sales Center (JDSC) for assigned branches and fix pending items.
  • Create Proforma documents as needed.
  • Reconcile cost adjustment entries posted to general ledger.
  • Adhere to safety policies of Dobbs Equipment and clients.
  • Following safety policies is a condition of employment.

This position interacts with branch personnel and others as needed to expedite information as required in the sales process. Essential Functions and Responsibilities

To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. (Other duties may be assigned)

  • Correctly settle, cost and invoice deals for assigned branches
  • Review deals for completeness and work with branch sales personnel on any missing items
  • Review Equipment costs and sale price for accuracy in all sales documents (quote, PO, finance documents, recap/cost worksheet, JDProtect, etc)
  • Purchase Equipment extended warranty
  • Create Rental Payoff for RPO conversions
  • Posting of accruals for cost of goods sold prior to invoicing (costing)
  • Input PM/TM&R data into product support PowerBi report (TM&R Tool)
  • Provides assistance for month-end volumes and general support during absences

  • Create Proforma documents as needed

Qualifications

  • Billing experience
  • Accounting experience
  • Customer Service experience
Education, Skill, And/or Experience Requirements
  • High school diploma required.
  • 1 or more years’ experience in a high-volume billing environment preferably involving heavy equipment.
  • Organization skills must be highly developed.
  • Computer skills need to be broad based and proficient.
  • Expert knowledge of Microsoft Office tools a must.
  • Cost accounting experience is preferred.
Reasoning Ability
  • Ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists.
  • Ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form.
Work Environment

While performing the duties of this job, the employee is occasionally exposed to wet and/or humid conditions, moving mechanical parts, and outside weather conditions. The noise level in the work environment is usually quiet.

  • Must be able to lift 25 pounds unassisted at times
  • Overnight travel may be required
