Job summary

HVH Mechanical Partners LLC is seeking a highly organized Sales Support Administrator to join our Sales team. You’ll move between proposals, customer portals, and marketing tasks, ensuring nothing falls through the cracks and customer needs are met.

You’ll work closely with the Sales Manager and Account Managers, coordinating contracts, tracking items, and supporting marketing initiatives. This is a fast-paced role for a proactive communicator who loves organizing details.

Qualifications

• Previous experience in sales support, administration, customer service, account coordination, marketing support, or a similar role.
• Excellent organization and time-management skills.
• Strong written and verbal communication skills.
• Confidence using Microsoft Outlook, Word, Excel, PowerPoint, and Teams.
• Ability to learn systems such as customer portals, HubSpot, BuildOps, and other business platforms.
• Strong attention to detail and follow-through.
• A positive, professional attitude and willingness to jump in where needed.

Responsibilities

• Support the Sales Manager and Account Managers with day-to-day needs and follow-up.
• Prepare proposals, presentations, reports, and customer communications.
• Coordinate new customer setup and maintain customer information.
• Manage customer and vendor portals, purchase order requirements, and related documentation.
• Help coordinate contracts, approvals, and signatures.
• Track open items, commitments, deadlines, and customer requests.
• Assist with customer surveys and following up on customer feedback.
• Coordinate newsletters, marketing content, customer appreciation, and special events.
• Identify projects for photos, videos, and marketing opportunities.
• Coordinate Chamber events, networking opportunities, and vendor activities.
• Work with Accounting to resolve billing questions and keep open items moving.
• Serve as a go-between when a customer issue needs to go to the right person.
• Pitch in on special projects wherever your help is needed.

We’re looking for an energetic, outgoing, and exceptionally organized Sales Support Administrator to become a key part of our Sales team. This isn't a sit-at-your-desk-and-wait-for-the-next-task kind of position. One minute you may be helping an Account Manager with a customer need, the next you could be coordinating a proposal, checking a customer portal, helping with a marketing project, following up on a survey, organizing a networking event, or figuring out what is holding up an invoice. You’ll have a lot of moving pieces, and you’ll be the person helping keep them moving.

What You’ll Do

You’ll work closely with our Sales Manager and Account Managers to support our customers, sales activities, and business development efforts. Your responsibilities will include:

• Supporting the Sales Manager and Account Managers with day-to-day needs and follow-up

Requirements
