Responsibilities

  • Own product tagging in Guild/Gallery; ensure items are properly tagged daily.
  • Edit line sheets and sales PDFs; maintain packing supplies on showroom floor.
  • Coordinate with Warehouse/Production for replenishments and stock checks.
  • Pull inventory for orders to mitigate overselling and check floor stock.
  • Provide front desk coverage, greet clients, and escalate leads to Gallery Director.
  • Develop SOP for capturing qualified gallery leads with SVP of Trade Sales.
  • Oversee gallery inventory and content on web channels; onboard artists.
  • Maintain artist presentation materials, including line sheets and price lists.
  • Ensure up-to-date materials; compile client packets as needed.
  • Keep showroom organized and coordinate with Custodial for aesthetics.
  • Update dimensions/materials in Shopify; ensure information is current.
  • Assist customers with product knowledge; provide timely client service responses.

Job description

Roman and Williams Guild is looking for a dynamic sales support associate to work with the SVP of Trade Sales in best supporting the varied needs of Guild and Guild Gallery. Sales and client support remain the primary focus of this role. The responsibilities outlined below are intended to support the selling environment, enhance the client experience, and ensure the sales team has a well-presented, fully stocked, and visually compelling floor from which to sell. These tasks are performed in tandem with ongoing Sales Coordinator responsibilities and should be prioritized accordingly.

KEY SALES RESPONSIBILITIES:
  • Owning product tagging in Guild/ Gallery; going through the showroom/Gallery daily to check products and ensure that all pieces are appropriately tagged
  • Editing line sheets and other sales related PDFs
  • Making sure that packing supplies on showroom floor (bags, boxes, tissues etc.) are adequately stocked
  • Liaising with Warehouse to ensure that we have adequate quantities of wood/metal/stone samples present on showroom floor, liaising with Production team to order replenishments well in advance if low on stock
  • Partnering with senior sales team members to pull inventory for orders off the floor to mitigate overselling; check stock levels on floor/ fulfillment area on behalf of sales team
  • Provide coverage for the gallery front desk, greeting clients in a hospitable way with the intent of assessing buying potential; elevate serious walk-ins, phone calls etc. to Gallery Director
  • Work with SVP of Trade Sales to formulate SOP on capturing qualified gallery leads
  • Oversee gallery inventory and related content on web sales channels (Artsy, Artbinder, Guild Gallery website), including onboarding the artists and ensuring sold items are properly marked
  • Maintain up-to-date and accurate artist presentation materials, including but not limited to line sheets, price lists, and individual PDFs.
  • Ensure that the sales team has up-to-date and accurate artist presentation materials, including but not limited to- line sheets, price lists, and individual PDFs; red-dot any sold pieces; assemble packets with line sheets/artist packets, so that they are readily available for clients
  • Oversee the gallery desk area to maintain an organized, clean and welcoming environment for clients and artists, bubble up any aesthetic concerns to Custodial department for swift resolution
  • Add all dimensions and materials to each gallery/ community piece currently for sale in Shopify, and routinely check to ensure that this is up to date
  • Use product knowledge and selling techniques to place Community/ Accessories with clients; elevate any gallery related inquiries to Gallery Director and any MTO (furniture/lighting) inquiries to SVP of trade sales
  • Keep an up-to-date record (pipeline) of sales progress; send this document along with reporting about activities and accomplishments weekly to SVP of Trade Sales
  • Assist customers in a friendly, knowledgeable, and enthusiastic manner
  • Provide product feedback that will enhance product offering to clients
  • Act as customer care when necessary, providing full and complete information in a timely manner to support the resolution of all client service issues
REQUIREMENTS:

  • Computer proficiency with MS Office; Outlook, Excel, Word
  • Strong communication abilities - both verbal and written.
  • Ability to recognize and react to changing work demands, and competing priorities
  • Must be able to pack, unpack and move stock when supporting in receiving / stocking functions.
  • Attention to detail, superlative time management and problem-solving skills
  • Scheduling Flexibility: Must be available on weekends and holidays
  • Ability to work throughout holiday season
