Founded in 1992, WAVE operates under a long-standing corporate philosophy rooted in the Golden Rule, combining the world-class culture of both parents. These core values continue to emphasize and fortify an unwavering commitment to our customers, suppliers, and shareholders.

WAVE provides total ceiling solutions that create distinct and innovative visuals in both commercial and residential spaces, reducing installation time and cost, and supporting customer collaboration to meet project management demands. As a Sales Project Coordinator, you will support the Containment (Data Center) business segment by managing customer inquiries, coordinating quote activity, and maintaining accurate project information throughout the sales process. In this role, you will serve as the primary coordinator for incoming sales requests and customer-service activities, ensuring every project is documented, tracked, and communicated efficiently from initial inquiry through quote completion and order support.

You will work closely with the Sales Team, Customers, Distributors, Contractors, Engineering, Operations, and Manufacturing to improve response times, enhance customer satisfaction, and maintain complete, accurate project documentation within Salesforce CRM. This role is focused primarily on front-end sales-support activities through quote completion and is critical to improving the speed, quality, and consistency of the sales process while providing outstanding customer support.

Key Responsibilities
  • Manage the ISQuote email inbox to ensure all customer, distributor, and contractor inquiries are acknowledged and routed promptly.
  • Capture every customer inquiry and project opportunity in Salesforce, maintaining accurate records for project configuration, location, and requirements.
  • Track the lifecycle of all quotations from initial request through completion, following up with internal teams to ensure on-time delivery.
  • Maintain visibility of open quotes and provide regular status updates to sales representatives and management.
  • Document critical project details, including product requirements, project milestones, and account information, within Salesforce CRM.
  • Maintain tax-exempt documentation for customers and specific project opportunities.
  • Serve as the primary point of contact for customer questions regarding quote status, documentation requests, and general inquiries.
  • Coordinate with Engineering, Manufacturing, and Sales to gather information and resolve issues that affect quote accuracy or response times.
  • Generate reports and metrics to measure inquiry volume, quote turnaround speed, and overall customer-service performance.
  • Identify and implement process improvements and standardized workflows to enhance the customer experience and improve quote efficiency.
Required Qualifications
  • Associate degree in Business, Customer Service, Sales Administration, or equivalent work experience preferred.
  • 3-5 years of experience in customer service, sales support, project coordination, or inside sales.
  • Experience working with CRM systems; Salesforce experience preferred.
  • Strong organizational and project-management skills.
  • Excellent written and verbal communication skills.
  • Proficiency with Microsoft Office, including Outlook, Excel, Word, and Teams.
  • Ability to manage multiple priorities in a fast-paced environment.
  • Strong attention to detail and commitment to data accuracy.
  • This is a hybrid role from our Malvern, PA office.
Preferred Qualifications
  • Experience with Salesforce CRM.
  • Familiarity with construction products, building products, or contractor/distributor customer environments.
  • Experience supporting quotation processes or coordinating projects in a manufacturing, construction, or building-products environment.
  • Experience generating reports and using metrics to improve customer service or sales-support processes.
