We are seeking a motivated, detail-oriented professional to join our team as a Sales Operations Specialist. This is a junior-level role designed for someone with a few years of experience who is eager to learn, grow, and help build the foundational processes of our sales engine.

Position Summary

The Sales Operations Specialist is a vital member of the customer engagement team and is responsible for the administrative health of the sales cycle, reviewing sales leads and the optimization of our CRM (HubSpot). This role focuses on building and maintaining sales process flows, ensuring data integrity, and supporting the sales team by removing administrative bottlenecks. This is a high-growth opportunity for a candidate looking to evolve into a strategic operations or management role.

Responsibilities
CRM Management & Process Optimization
  • HubSpot Administration: Act as the primary administrator for HubSpot, managing deal stages, workflows, and properties to ensure a seamless sales funnel.
  • Process Mapping: Assist in building and documenting standardized sales process flows, from lead generation to order hand-off.
  • Data Integrity: Perform regular audits of CRM data to ensure accuracy in forecasting and customer contact information.
  • Reporting: Create and maintain dashboards to track sales activity, lead conversion rates, and team KPIs.
  • Sales Coordination: Stay on top of the administrative side of the sales process, including document preparation, contract routing, and internal communications.
  • Inquiry Management: Help triage incoming sales inquiries and ensure they are assigned and followed up on according to established SLAs.
  • Inter-departmental Liaison: Coordinate between Sales, Engineering, and Production to ensure that administrative requirements for new projects are met.
  • Training Support: Assist in developing training materials for new sales hires on internal systems and processes.
Education and Experience
  • Education: Bachelor’s Degree in Business, Marketing, Operations, or a related field preferred.
  • Experience: 2-4 years of professional experience, ideally in a Sales Support or Operations role.
  • Technical Skills: Proficiency in HubSpot is required (Certification is a plus). Intermediate to advanced Excel skills are necessary.
  • Industry Knowledge: Experience working within a manufacturing environment is required to understand the complexities of custom production cycles and lead times.
Physical Requirements & Work Environment
  • Physical Requirements:
  • Prolonged periods of sitting at a desk and working on a computer.
  • Must be able to lift up to 15 pounds at times.
  • Manual dexterity required to operate computer peripherals and office equipment.
  • Primary work is performed in a professional office setting.
  • Occasional visits to the manufacturing floor may be required, involving exposure to moderate noise levels and industrial equipment.
