Peterson Cat in Hillsboro, OR is seeking an experienced Sales Operations Administrator to manage invoicing for new, used and rental equipment and to track post-sale claims. You will collaborate with Sales Management, Coordinators, Reps, Accounting, and EMS to ensure timely invoicing, process commission vouchers, file claims, and maintain organized records.

A high school diploma and at least three years in sales support are required; a valid driver’s license is essential.

Job Description

Peterson Cat has the immediate need for an experienced Sales Operations Administrator based at either our San Leandro, CA or Hillsboro, OR locations. This position is responsible for invoicing customers for new and used equipment, post-sale claims processing/tracking, Sales Rep commission vouchers, deal packet processing/storage, and Caterpillar PINS tracking.

Essential Job Functions

• Process customer invoices for new, used, and rental equipment, report all new Caterpillar machine sales via PINS Report, and create commission vouchers.
• Insure timely invoicing to Customers for New Machine/Attachment Sales, Used Machine/Attachment Sales, Monthly Rentals (RPO’s), and Rental Services (CA only).
• Collaborate with Sales Management, Coordinators, Reps, Accounting, and EMS to maintain close tracking of invoices, initiate and track post-sale claims from Sales Rep iQuote worksheet until full recovery of funds from Caterpillar. Interaction with other departments and Peterson team members as necessary.
• Keep current on Caterpillar Merchandising Programs in order to drive maximum utilization of all applicable “value-add” claim options.
• Ensure timely submission of claims and full recovery of funds claimed. File claims within the allotted time-frame. Keep 60 Day Report at a manageable level (green status).
• Ensure machine packet contents are complete and in proper order before filing, protecting Peterson from audit violations.
• Maintain electronic and hard copy files of equipment/attachment records as needed.
• Keep current on relevant department and company operational and administrative matters.
• Look for ways to continuously improve and refine department processes to reduce wasteful steps.
• Maintains punctual, regular, and predictable attendance.
• Operate company or personal vehicle as needed.

Other Job Functions

• Other administrative, clerical duties as assigned by Manager.
• Work overtime as needed and within labor law guidelines.
• Attend scheduled training classes, department, and safety meetings.
• Works collaboratively in a team environment with a spirit of cooperation.
• Displays excellent communication skills including presentation, persuasion, and negotiation skills required in working with customers/ coworkers, including the ability to communicate effectively and remain calm and courteous under pressure.
• Respectfully takes direction from supervisor/manager.

EDUCATION And/or EXPERIENCE

High School Diploma or General Education Degree (GED); and a minimum of three years of related experience in sales support, preferably in a heavy industrial environment; or an equivalent combination of education and work experience.

CERTIFICATES, LICENCENSES, REGISTRATIONS

Must possess a valid motor vehicle operator’s license and have access to reliable transportation.

The CALIFORNIA hourly pay range for this position is: $35.55-$41.00. We also offer a total compensation package in addition to base salary.
