Job summary

The Potomac Hotel, Autograph Collection, part of Pyramid Global Hospitality, in Washington, DC, is seeking a Sales Coordinator to support the Sales Team with contracts, proposals, and client communications, while coordinating meetings and events.

This role emphasizes strong organization, exceptional guest service, and cross-department collaboration. Delphi experience is preferred; proficiency in Microsoft Office and excellent English communication are essential to succeed in this position.

Qualifications

  • Minimum of two years in hotel sales, convention services, catering, and/or hotel operations.
  • Delphi experience preferred.
  • Experience in a luxury resort setting preferred.
  • Strong organizational and problem-solving skills.
  • Excellent English written and verbal communication.

Responsibilities

  • Prepare sales contracts and proposals for clients.
  • Serve as the primary contact for clients and coordinate meetings.
  • Generate reports and assemble information packets.
  • Manage calendars, appointments, and travel arrangements for the sales team.
  • Filing & organizing documents; share relevant information with stakeholders.
  • Use Delphi-based sales automation per department standards.
  • Foster cross-department relationships to deliver exceptional guest experiences.
  • Maintain a positive, guest-focused workplace culture.

This role is responsible for coordinating and synchronizing the needs of the team. Strong organizational skills, detail oriented and effective communication will be critical to the success of this position. All duties are performed in accordance with department policies, practices and procedures.POSITION RESPONSIBILITIES/DUTIES:Provide high-level support by preparing sales contracts, proposals, and serve as the point of contact for clientsGenerating reports, gathering materials, assembling information packets, arranging and coordinating meetings and eventsAssist sales team by managing schedules, appointment, and travel arrangementsFiling important documents, organizing the office and communicating relevant information to key stakeholdersUtilizing the sales automation system, DELPHI efficiently and effectively based on department standardsBuild impactful relationships with all other departmentsAccountable for fostering consistent levels of extraordinary customer service throughout the workplace that result in the highest levels of guest satisfactionMaintain a positive workspace for all team members where team member engagement levels are high due to everyone feeling valued and enjoy coming to their jobPromote diversity, inclusion, pride, respect, camaraderie and fairnessFoster strong relationships by doing things the right way with integrity, hard work, collaboration and teamworkHave fiscal responsibility for both the property as well as the departments by consistently looking for ways to refine the business without compromising guest satisfactionCreate ways to further enrich the guest experience by continuously reviewing, offering suggestions on refining procedures to ensure every opportunity to offer extraordinary guest experiences while maintaining a culture of smiles and retention of luxury standardsProactively seek feedback and liaise with other departments when opportunities present themselves ensuring a seamless and elevated guest experiencePerform other functions as neededWhat are we looking for?MINIMUM REQUIREMENTSMinimum of two (2) years of hotel sales, convention services, catering and/or hotel operations experienceDelphi experience preferredPrevious experience in a luxury resort setting preferredKNOWLEDGE/SKILLS/ABILITIES:Working knowledge of Microsoft OfficeExcellent customer service skillsAbility to function well under pressure, manage multiple priorities, and meet established deadlinesSuperior problem solving and decision-making skillsExcellent organizational and project management skills, with particular attention to quality and detailInterpersonal skills to deal effectively with all business contactsProfessional appearance and demeanorAbility to effectively communicate in English, in both oral and written formsCompensation:$27.00-$27.00Pyramid Global Hospitality is an equal opportunity employer.
