Job summary

B Bornquist, celebrating its 85th year, is seeking a Sales Administrator in East Moline, IL. This full-time role supports multiple departments by preparing submittals, quotes, project information, and sales literature for inquiries, ensuring accurate order entry and compliance.

You will manage quotes, follow up with customers, oversee literature inventory, process registrations for training, and keep the CRM updated with interactions.

Qualifications

  • HS diploma or GED; 0–3 months related experience or training.
  • AA or equivalent from a two-year college preferred; 6–12 months related experience.
  • Proficiency with Prophet 21 ERP; training provided.
  • Experience with Word, Excel, Outlook; general internet use.

Responsibilities

  • Reviews orders prior to release; ensures contract components, pricing, approvals and documents are present.
  • Manages quote requests and distributes to Inside/Outside Sales or Estimators.
  • Follows up with customers to determine quote status.
  • Oversees literature inventory and distribution to customers.
  • Handles registrations via supplier portals for classes and seminars.
  • Updates CRM with opportunities, tasks, and activities; attaches quotes.
  • Collects submittals and IOMs from vendors and distributes to customers.
  • Monitors general Sales email; distributes as needed.
  • Performs other duties as assigned by management.

Position Summary:

Sales Administrators interact with several departments to provide customers with submittals, quotes, project information, operation & maintenance manuals, and sales literature for projects and inquiries. This position reviews documentation for sales orders to ensure quality, accuracy, and completeness to ensure a smooth order entry process by Inside Sales.

Duties and Responsibilities:
  • Reviews orders prior to release to assure all necessary components of a contract are present, pricing is correct, relevant approvals have been secured and documents are attached, and regulatory compliance requirements have been met.
  • Manages quote requests for products and/or services received from customers and distributes them to Inside Sales, Estimators, or Outside Salespeople.
  • Follows up with customers via phone or email to determine project quote status.
  • Oversees literature inventory, replenishes when necessary, and assists sales with distribution to customers where applicable.
  • Handles customer and BI employee registration via several supplier portals for classes, seminars, and other educational opportunities held at Bornquist or supplier's facilities.
  • Updates Opportunities, Tasks, and Activities in CRM, attaching quotes, documents, and recording details of customer interactions.
  • Collects submittals and IOMs from vendors, combines, and distributes to customers.
  • Monitors general Sales e-mail and distributes as needed.
  • Performs other related duties as assigned by management.
Qualifications:
  • High school diploma or general education degree (GED), or one to three months related experience and/or training, or equivalent combination of education and experience.
  • Associate's Degree (AA) or equivalent from a two-year college or technical school, or six months to one year related experience and/or training, or equivalent combination of education and experience is preferred.
  • Proficiency utilizing Enterprise software (Prophet 21 by Epicor). Training can be provided.
  • Computer proficiency in Microsoft Office Suite (Word, Excel, Outlook) and general internet functionality.
  • Other skills required:
