Qualifications

  • Ability to work independently and follow established processes.

Responsibilities

Job description

Position Summary

The Safety & Compliance Coordinator provides administrative support for the safety, compliance, and risk management functions of Watson Truck & Supply, Inc. and Watson Hopper, Inc. (collectively \"WTS\"). This position is responsible for maintaining compliance documentation, coordinating required training, tracking regulatory deadlines, administering compliance records, supporting fleet compliance activities, coordinating workers' compensation documentation, and assisting management with safety-related administrative functions.


The Safety & Compliance Coordinator serves as a central point of coordination between WTS management, department supervisors, employees, insurance representatives, regulatory agencies, and third-party safety consultants. This position does not serve as the company's primary safety authority but supports company management in maintaining organized and effective compliance programs.


Key Responsibilities

Compliance Administration


  • Maintain organized electronic and hard-copy compliance records.

  • Track required OSHA, DOT, FMCSA, insurance, and company compliance documentation.

  • Monitor regulatory deadlines and renewal requirements.

  • Maintain department filing systems and document retention practices.

  • Assist with preparation of information for regulatory audits and inspections.

  • Coordinate requests for records from management, auditors, consultants, and regulators.


OSHA Recordkeeping


  • Maintain OSHA 300, 300A, and 301 records.

  • Assist with OSHA reporting and documentation requirements.

  • Maintain incident reports and corrective action records.

  • Track completion of corrective actions assigned by management.

  • Organize safety inspection reports and supporting documentation.


DOT and FMCSA Compliance Support


  • Maintain driver qualification files.

  • Track driver license renewals, medical certifications, training, and compliance deadlines.

  • Maintain FMCSA Clearinghouse records and documentation.

  • Coordinate required DOT drug and alcohol testing through designated providers.

  • Assist with preparation for DOT and FMCSA audits.

  • Maintain fleet compliance records and supporting documentation.


Training Coordination


  • Coordinate new employee safety orientation scheduling.

  • Maintain employee training records and training matrices.

  • Schedule required safety and compliance training programs.

  • Coordinate CPR, First Aid, H2S, forklift, defensive driving, and other required training.

  • Monitor training completion status and notify supervisors of upcoming requirements.

  • Maintain records of toolbox meetings and safety meetings conducted by supervisors.


Workers’ Compensation Administration


  • Coordinate collection of injury and incident documentation.

  • Assist with workers' compensation claim administration.

  • Maintain claim files and supporting records.

  • Serve as a liaison with insurance carriers, medical providers, and third-party administrators regarding documentation needs.

  • Track return-to-work documentation and claim status updates.


Fleet Compliance Support


  • Maintain company vehicle files and registration records.

  • Track inspections, registrations, insurance cards, and maintenance documentation.

  • Coordinate vehicle accident reporting documentation.

  • Maintain fleet safety and vehicle compliance records.

  • Assist departments in maintaining approximately 25 company vehicle records.


Vendor and Contractor Coordination


  • Coordinate activities with third-party safety consultants and trainers.

  • Schedule facility inspections and audits conducted by outside providers.

  • Maintain records of consultant recommendations and management responses.

  • Assist with insurance and captive program reporting requirements.


Reporting and Communication


  • Prepare periodic compliance and safety reports for management.

  • Monitor and report training completion, incidents, claims, inspections, and outstanding compliance items.

  • Communicate upcoming deadlines and compliance requirements to department managers.

  • Maintain professionalism, confidentiality, and positive working relationships throughout the organization.


Required Qualifications


  • High school diploma or equivalent required.

  • Associate's degree in Business Administration, Human Resources, Safety, or a related field preferred.

  • Minimum of three (3) years of administrative, compliance, human resources, safety support, fleet administration, or related experience.

  • Strong organizational and recordkeeping skills.

  • Experience maintaining confidential records and documentation.

  • Proficiency with Microsoft Office applications including Word, Excel, Outlook, and Teams.

  • Strong written and verbal communication skills.

  • Ability to manage multiple projects and deadlines.

  • Ability to work independently and follow established processes.

  • Valid driver's license and driving record that meets company requirements.


Preferred Qualifications


  • Experience supporting OSHA, DOT, FMCSA, HR, fleet management, or compliance programs.

  • Experience maintaining training records and regulatory documentation.

  • Familiarity with workers' compensation claim administration.

  • Experience working in trucking, manufacturing, oilfield services, equipment repair, or industrial operations.

  • OSHA 10-Hour or OSHA 30-Hour certification.

  • Bilingual English/Spanish communication skills.


Work Environment


  • Primarily office-based work with periodic visits to shop, warehouse, manufacturing, and yard facilities.

  • Occasional exposure to industrial and manufacturing environments.

  • Frequent computer and administrative work.

  • Periodic travel to company locations and training events.

  • May occasionally lift files, supplies, and training materials up to 25 pounds.
